EasyRetro has a few optional AI features that help your team save time. This article explains which ones we offer, which provider and models power them, what happens to your data, and what controls you have.
Which AI features does EasyRetro have?
Feature | What it does | What is sent to the AI provider |
AI Summary | Generates a summary of your retrospective and a team mood score. You choose which columns to include, and you can regenerate, copy, or delete the summary. | From the columns you select: column names, card text, vote counts, and card comments. For the mood score: the board name, column names, and card text. |
Group Cards | Scans your board and groups similar ideas together, so you don't have to sort them by hand before your discussion. | From the columns you select: column names and card text. |
Generate with AI (columns) | When you create a board, you type a theme (for example, Star Wars) and the AI suggests the board's columns. | Only the theme you type, the number of columns, and your language. |
We never send names, email addresses, or other account details. Only what your team writes on the cards is sent.
All other EasyRetro features work without AI.
Which AI provider and models do you use?
We use the OpenAI API for all of our AI features.
Feature | Provider | Model |
AI Summary | OpenAI API | GPT-5 mini |
Group Cards | OpenAI API | GPT-5 mini |
Generate with AI (columns) | OpenAI API | GPT-5 mini |
We will update this article if we change the provider or the models.
Is my data used to train AI models?
No. According to OpenAI, data sent through its API is not used to train its models unless the customer chooses to share it. OpenAI offers optional data controls that let customers share inputs, outputs, model feedback, and evaluation or fine-tuning data.
We have not turned on any of these controls, and all of them are set to Disabled for EasyRetro. To learn more about how OpenAI handles API data, see:
EasyRetro does not train its own AI models.
What does EasyRetro store?
AI Summary: the summary and mood score are saved on the board. They stay there until you delete the summary (which removes both) or delete the board.
Group Cards: suggestions are not saved. Nothing on your board changes unless you choose to merge the suggested cards.
Generate with AI: the suggested columns only fill in the create-board form. You can edit them before creating the board.
Does AI run automatically on my boards?
No. AI features only run when someone on your team clicks an AI button:
AI Summary: the mood score is calculated at the same time as the summary.
Group Cards: someone picks the columns, then clicks to get suggestions.
Generate with AI: someone clicks Generate while creating a board.
If nobody uses these features, no board content is sent to OpenAI.
Can an admin turn AI off?
Yes. The subscription owner can turn off AI features for the whole organization. When AI is turned off, the AI features won’t be available to anyone in the organization, and no board content is sent to OpenAI. To change this setting, you can access your Teams page, click the three dots on your organization, and select “Disable AI features”.
Note: This setting only applies to users who are part of your organization, meaning users who were invited to your organization’s teams. It does not apply to other users who created an EasyRetro account with the same company email domain but are not members of your organization.
If you leave AI turned on, AI features still only run when someone on your team clicks an AI button, and only board admins can run AI Summary and Group Cards.
Who else processes my data?
OpenAI is a third-party provider for our AI features. You can find our list of third-party sub-processors in our Data Processing Agreement. For how we protect the rest of your data, see our Security page and Privacy Policy.
