As an admin, you can either assign unique access codes to your voters, or let our system generate the access codes for you.
Why do my voters need an access code?
Your voters will use their access code to log into the ballot once it goes live.
They will then be prompted to change the access code to a password of their choosing.
This process ensures each voter will only be allowed to vote once. Access codes will expire after use.
What should the access code contain?
If you are creating the access code yourself, we recommend using member ID’s or last names. These are easier to assign than letter and code combinations, but the choice is entirely up to you!
How to Create and Assign Unique Voter Access Codes
There are two scenarios where you can assign an access code:
When uploading a voter list
When adding individual voters
When uploading a voter list, we recommend that you use our .csv template. You’ll see that it contains a column marked Access Code.
You can choose to leave this column blank, and our system will generate random access codes for you.
You can also choose to create these access codes yourself, but this can be tedious and time-consuming if you have a lot of voters.
We recommend letting our system generate these access codes for you.
Follow these steps to assign access codes to a voter list:
Click the Voters option in the main menu.
Select Upload Voter List from the menu options.
Download the .csv template.
Fill out the necessary fields, but leave the Access Code column blank (or fill it out if you want custom access codes)
Save your .csv file.
Upload your file to your account.
Once your file is successfully uploaded, you will see the system-generated access codes!
When adding individual voters, you'll need to create an access code for your voter. Our system does not generate access codes for voters added individually.
To create an access code for individual voters:
Click the Voters option in the main menu.
Select Add Voter.
Fill out the necessary fields. Be sure to include first and last name, email address, and access code.
Click Add.
