Timesheets are where team members can enter in their time worked for each project and task. They are the building blocks for your payroll process and sync with your integrated Xero account.

Creating a Timesheet
On the left side menu, click Resourcing to see the Timesheet List tab. By default, you will see the current week's calendar. Use the dropdowns or arrows to Select Project(s), Select Staff, and change the Date Range of the week shown.
Click the +Add Timesheet button to create a new timesheet row and enter the information to complete the row.
Employee | Name of the staff member who worked on the project |

Cost Centre | Choosing the cost centre narrows down the tasks |
Task | Task the staff member worked on for the project |
Enter the hours worked for their normal rate and any hours worked that should be calculated with their overtime rate, if necessary. These rates were configured Step 2 of Project Creation.
Timesheets can be saved without approval by using the down arrow next to the Approve Timesheet button. You can also Approve Timesheets with Margin Off from here.
The Weekly Total Hours section provides a summary of all regular and overtime hours recorded for each employee, based on their individual timesheet rows.
Note: You can turn off the contract margin by editing that Project. This will stop a margin from being applied to the Cost tab, and throughout PX360 budgets and reports. |
Approving a Timesheet
Check the box for any timesheet row that needs to be approved and click the Approve Timesheet button.
Once approved, the labour hours will be added to the Planning tab as a project cost, and viewable from the Cost tab as Labour Time.
Un-approving a Timesheet
To move timesheets back to their draft state, click the pencil icon for the timesheet row and select Yes on the popup.
Deleting a Timesheet
To delete a timesheet, click the trash can icon for the timesheet row and select Yes on the popup.
Timesheet History
To view all changes to the timesheet list, go to the Options menu in the upper-right corner and choose Timesheet History.
A pop-up screen will appear showing all changes made to a timesheet entry. The History column indicates which aspect of the timesheet was modified. An Old and New label will appear beside each change to help you identify the previous and updated values.
Exporting a Timesheet CSV File
To export the timesheet list as a CSV file, open the Options menu in the upper-right corner and choose Export CSV.
A pop-up screen will appear where you can edit each required field. You may refer to the table below for guidance. Once done, click Submit to automatically download the CSV file to your device.
Start Date | Enter the date range for the timesheets you'd like to export to CSV. |
Project(s) | Select the project(s) for the timesheets you'd like to export to CSV. You can export one, multiple, or all at once. |
Employee(s) | Select the employee(s) for the timesheets you'd like to export to CSV. You can export one, multiple, or all at once. |
Timesheets can also be exported to Xero for payroll.
Swapping Task and Cost Centre
If you’re more familiar with site Tasks than Cost Centres or Project Budgets, you can use the Swap Task View from the Options dropdown when adding timesheets.
Guide to Timesheet List Status Icons
Added to PC - This timesheet row is approved and included in a progress claim but can still be edited.
PC Approved/ Export to Xero - This timesheet row was approved and included in a progress claim that has been approved by the client. It can no longer be edited.
Timesheet Comment - The chat bubble icon indicates that a description has been added to a specific timesheet entry. Hover your mouse pointer over the icon to view the description.
