How to use the data room & shortcuts when using the Data Room to save you time

Adding Documents to your data room

You can upload any document in PDF format to your fund profile using the data room. This includes factsheets, monthly investor newsletters, DDQs, and fund pitch books. You can also upload audio files in MP4 format for podcasts.

Simply right-click in the data room and select 'upload'. This will allow you to find your document and click to upload it.

If you right-click on the uploaded document, you will see several options to edit your document details (such as renaming the document title and selecting permission levels).

By clicking 'edit,' you will be taken to a page where you can upload a new version of the document. This is useful if you have previously linked the document in an email campaign, but later discovered a typo or grammar issue. Uploading a new version will not disrupt the email campaign link.

Choose 'upload' to re-upload your document.

On this settings page, you also have the option to add a 'watermark.' You can toggle this feature on and off. If you want your documents to include the user's name, email, and a timestamp when they download the document, you can select this option.

Permission Levels

If you need to update multiple documents in the data room, you can use the shift+click combination to select a range of documents between two clicks or the command+click combination to choose specific ones.

Downloading the entire folder

All users accessing the data room can download entire folders by selecting the folder and clicking the download button to save all documents within the folder to their device, based on their permission levels.
