Line Level COGS

Looking at the average cost for each line level item sale

This table provides a detailed breakdown of your costs and sales at the individual product/recipe level. You’re able to see what specific products are being sold, the total net sales within a timeframe, and the profit margin.

At the top of the page, you’ll find tools to customise your view:

  • Date Selector: Pick the specific day or date range you want to see (5am - 5am in the timezone of the selected site)

  • Location Selector: Narrow down your results to a specific site, or look at all sites together.


The Line-Level Table

The table lists all your products, showing how they’re performing. Here’s what each column means:

  • POS Name: The name of the product as it appears in your Point of Sale (POS) system.

  • Modifier: Variations or customisations added to a product that's sold (i.e different milk types for coffee drinks)

  • Edify Name: Name for the product/recipe set in Edify

  • Product Class: The category of the product/recipe (i.e "Beverage" or "Food").

  • Qty Sold: The total number of units sold during the selected period.

  • Cost per Unit: How much it costs to produce one unit of the product.

  • Total Cost: The total cost for all units sold.

  • Sale Price per Unit: The price at which one unit is sold to customers.

  • Net Sales Total: The total revenue earned from selling this product.

  • Gross Margin: The percentage of revenue remaining after product costs are subtracted (an indicator of profitability).

Additional Features

  • Filters and Sorting: Use the filters (bottom-right) to focus the table data on specific products/metrics. - (ie. If you want to find costings for a particular drink you sell, or filter the table to see only items with cost's above £X)

  • Totals Row: A summary row at the bottom gives you the overall totals for each metric.

  • Downloading the Report: You can download the data for further analysis or reporting (bottom-right export button).

Why are there missing/incorrect costs on my report?

The Line Level Data reports are generated using information from your Recipes/Products and Sales Data. If you notice something doesn't look quite right with your report, make sure to check the following things first:

Is the product/recipe in Edify matched up to the item on your POS correctly?

Check your POS Dashboard and ensure the correct item and unit of measure have been linked - You'll see a "Missing❗️" error appear in the Edify Name column if you haven't yet matched anything to the item in Edify.


Are your Recipes set correctly in Edify?

Check the recipe ingredients and costs - has there been a mistake made? You can view this by clicking in the Edify Name Column.

Line Level COGS FAQs

The Gross Margin on one of my items is way too low, what's wrong?

Your gross margin appearing as too low (e.g. -100%) could be due to a few things, but there are troubleshooting steps you can take to work out the problem:

  1. Check the POS Matching is correct - Is the POS Item matched to the correct product or recipe? You can check a few ways, firstly you can see what a POS Item is matched to by viewing the 'Edify Name' column. You can also go to the POS Matching Tool to view all of your matches. If you need to re-match an item correctly, head to the POS Matching Tool on your "Settings" tab.

  2. Check the recipe or product is setup correctly - By clicking the 'Edify Name' you will be taken to the recipe or product the POS Item is matched to. Check the quantities in the recipe are correct - Is there an ingredient that's been set incorrectly, increasing the cost of the recipe? Similarly, is the cost and pack setup of the product correct? Amend any errors.

  3. If matched to a product, check the unit of measure - Navigate to the POS Matching Tool and search for the POS Item. Ensure that the correct unit of measure has been set. For example, if you sell bottles of water per bottle but the unit of measure is set to 'case' this will affect the Gross Margin.
