Summary
Any view can be emailed, once or on a schedule. Recipients don't need an Edify login - the report arrives as a PDF (one document for the whole report) or CSV (one file per chart, data only), with an optional short written summary of the figures.
Select Email on a view, or on an individual chart, to open the email panel. Manage scheduled reports sits at the bottom of that panel.
Anyone with access to Ask Edify can send a one-off email. Scheduling a recurring report is Admin-only. Recipients are blind-copied, so they can't see each other's addresses.
For what views and tiles are, and how to build them, see Asking questions and building reports with Ask Edify.
Sending a one-off email
Select Email on a view, or on an individual chart.
Enter each recipient's address and press Enter.
Under Contents, tick the charts to include. You can mix charts from any view and they'll send as one report.
Choose a Format.
Select Preview email to check it, then Send now and confirm with Send.
You can send up to five charts to fifteen recipients per email, and fifteen one-off emails a day per person (the count resets at midnight UTC). Scheduled reports don't count towards this. The counter under Contents shows how many of the five you've used.
Scheduling a report by email
Scheduling is Admin-only; Managers can send one-off emails.
Select Schedule at the top of the email panel, next to Send once.
Follow steps 1 to 4 above.
If any of the charts sit in views with date ranges, choose use each view's range or set one range.
Name the report. This becomes the email's subject line.
Set the Cadence (Daily, or Weekly on one day), the Send time (in 15-minute steps) and the Timezone. This defaults to the owner's sites, so check it if a report lands at the wrong hour.
Tick or untick Include written commentary.
Select Preview email to check it, then Save schedule.
A range set here only affects the email. It doesn't change the view for anyone.
Managing scheduled reports
Select Email within any view, then Manage scheduled reports at the bottom of the email panel (Admins only). This lists every schedule for your company across all owners, with its contents, recipients, cadence, format, owner, last send and status.
Admins can preview, pause, resume, edit or delete any of them. Resuming a schedule starts from its next send time; it doesn't catch up on missed sends. Editing a paused schedule leaves it paused until you resume it.
Reports render with their owner's access at the moment of sending. If the owner leaves the company or can no longer see any sites, their reports pause rather than going out empty. If they lose access to only some sites, the report keeps sending but only covers the sites they can still see. A schedule also pauses after three failed sends in a row. The reason shows on the schedule's row.
⚠️ A scheduled report pauses if every chart on it has been deleted. If only some are deleted, it keeps sending without them and the owner gets an email about it. Either way, edit the schedule and pick replacement charts, then resume it if it was paused.
To stop receiving a scheduled report, select Stop receiving this report at the bottom of the email. One-off emails don't have this link, so ask the sender instead.
Troubleshooting
Problem | What to do |
A scheduled report has stopped arriving | Check Manage scheduled reports. A schedule pauses if every chart on it is deleted, if the owner is unassigned all sites, or after three failed sends in a row. The reason shows on the schedule's row. |
A report is missing some of its charts | If only some charts were deleted, the report keeps sending without them and the owner gets an email about it. Edit the schedule and pick replacements. |
A report covers fewer sites than expected | Reports render with the owner's access at the moment of sending, so they only cover sites the owner is assigned to. |
A report arrives at the wrong time | Check the Timezone on the schedule - it defaults to the owner's sites. |
"Too many results" | A chart with more than 5,000 rows won't send. Narrow the date range or the question. |
I can't schedule a report | Scheduling is Admin-only. Managers can send one-off emails. |
I want to stop receiving a report | Select Stop receiving this report at the bottom of the email. One-off emails don't have that link, so ask whoever sent it. |
I've hit my daily limit | You can send fifteen one-off emails a day, and the count resets at midnight UTC. Scheduled reports don't count towards it. |
