Setting Up and Managing Recurring Orders

Summary

Recurring orders automate regular purchases by sending the same order to your supplier on a set schedule. Once configured, orders are automatically generated and sent with your chosen products and quantities—saving time and ensuring consistency.


Set up a Recurring Order

Step 1: Choose your products

  1. Navigate to Orders > Recurring Order

  2. Click Set up Recurring Order

  3. Find your supplier and click the arrow

  4. Add products and quantities, then click Add Selected to Basket

  5. Review and adjust as needed

Step 2: Set the delivery schedule

Weekly deliveries — Select Weekly, choose your frequency (every week, odd weeks, or even weeks), then select delivery day(s).

Monthly deliveries — Select Monthly, then either choose specific dates (e.g., 1st, 15th, 30th) or a pattern like "Second Tuesday of each month".

The calendar on the right highlights your selected delivery dates.

💡 Click Cut-off Times to verify your supplier delivers on your chosen days.

Step 3: Set when the order is sent

  1. Choose the time window for sending the order

  2. Choose how many days before delivery the order should be sent (e.g., 2 days before)

  3. Assign the Ordering User—supplier replies will be sent to this user

  4. Click Set Up Recurring Order

Head back to Recurring Order to view up to four weeks worth of upcoming Recurring Orders.

⚠️ Important: The first order sends based on your schedule. If the scheduled send time for your next delivery has already passed, that delivery will be skipped and the first order will go out for the following scheduled delivery instead.


Edit or cancel an upcoming order

You can modify or cancel individual upcoming orders (single orders generated from your scheduled) before they're sent to the supplier.

To edit: Navigate to Orders > Recurring Order, click the arrow next to the order, make changes, and click Save Changes.

To cancel: Navigate to Orders > Recurring Order, click the arrow next to the order, and click Cancel Order.

⚠️ If the order has already been sent, contact the supplier directly—cancellation depends on their policies.


Edit or cancel a master recurring order

A master recurring order is your original schedule. Changes here affect all future orders, not just the next one.

To edit: Navigate to Orders > Recurring Order > Edit Master Recurring Orders, click the arrow next to the order, make changes, and click Save Changes. Make changes well in advance to avoid disruption.

To cancel: Navigate to Orders > Recurring Order > Edit Master Recurring Orders and click Cancel Recurring Order. No further orders will be generated.

💡 Can't edit or cancel your individual or master recurring order? A product within the order may no longer be available, or the product's pack type or single unit type may have changed since setup.

Product unavailable: Remove the unavailable product from the recurring order

Product details changed: Update the recurring order to reflect the current product setup


Transferring Standing Orders to Edify

All ordering should be done in Edify, as such, if you have an existing Standing Order with a supplier you should convert this to a Recurring Order in Edify.
