Recurring orders let you automate regular purchases by setting up a schedule to send the same order to your supplier on a specific day and time. This means you don’t have to manually place a new order each time you need the same products—saving you time and ensuring consistency.
Once set up, the system will automatically generate and send the order to your supplier with the items and quantities you've chosen, according to the frequency you’ve selected (e.g., every Monday at 10 AM, every two weeks, etc.).
Setting up a Recurring Order
Step One - Choose your products
Select "Orders" from the left hand menu, then "Recurring Order"
Click "Set up Recurring Order"
Find the supplier and click the arrow button
Add the products and quantities you require, click "Add Selected to Basket"
You can review the products and make adjustments
Step Two - Set the delivery schedule
Now choose when you'd like to receive your recurring deliveries and how often they should be sent.
Weekly Deliveries
Select Weekly
From the dropdown choose whether you'd like to receive the order:
every week
on odd weeks
on even weeks
Select the day(s) you want to receive the delivery.
Monthly Deliveries
Select Monthly
Choose specific dates from the dropdown (e.g., 1st, 15th, 30th),
or
Use the second option to select a pattern like "Second Tuesday of each month".
As you configure the schedule, the calendar on the right will highlight the applicable delivery dates—so you can visually confirm everything is set up correctly.
💡 Top tip - Click Cut-off times to check your supplier's delivery schedule and ensure the days you've selected are available.
Step Three - Set when the order should be sent
Now define when the system should send the order to your supplier.
In the first dropdown, choose the time window for sending the order (e.g., 9:00–11:00 AM).
In the second dropdown, choose how many days before the delivery date the order should be sent (e.g., 2 days before).
You can check the supplier’s cut-off times again by clicking Cut-off times to make sure your schedule falls within their order deadlines.
Finally, assign the "Ordering User", aka the user this order will be sent on behalf of. Any replies from the supplier will be sent to this user.
Once you are happy click "Set Up Recurring Order"
Once a recurring is sent to a supplier a unique PO is generated and the order moves to "Deliveries" as with regular orders.
Changing or cancelling upcoming Recurring Order
You can edit or cancel an individual upcoming recurring order any time before it's scheduled to be sent to the supplier.
Editing an upcoming recurring order
Head to "Orders" then "Recurring Order"
Identify the order you would just to change and click the arrow
You change the quantities you want to receive, add or remove products from the order
Click "Save Changes" to confirm your updates.
Cancelling an upcoming recurring order
Head to "Orders" then "Recurring Order"
Identify the order you would just to change and click the arrow
Click "Cancel Order"
Please note: If the order has already been sent to the supplier, it can’t be cancelled through the system. In this case, you’ll need to contact the supplier directly. Whether the order can be cancelled at that point will depend on their policies and discretion.
Changing or Cancelling a Master Recurring Order
A Master Recurring Order is the schedule you originally set up to automatically send orders at regular intervals. Editing or cancelling a Master Recurring Order will affect all future orders tied to that schedule—not just the next one.
Keeping your recurring orders up to date helps ensure your deliveries continue to reflect your current needs and avoid unexpected issues.
How to edit a Master Recurring Order
Click from the left hand menu "Orders" then "Recurring Order"
Click "Edit Master Recurring Orders" from the top right
Find the recurring order you'd like to edit and click the arrow

Change product quantities
Add or remove items
Adjust the delivery schedule or send times
Click "Save Changes"
Important: Any changes made here will apply to all future order send-outs. We recommend making changes well in advance of the next scheduled delivery to avoid disruption.
How to cancel a Master Recurring Order
Click from the left hand menu "Orders" then "Recurring Order"
Click "Edit Master Recurring Orders" from the top right
Click "Cancel Recurring Order"
Once cancelled, no further orders will be generated or sent from this schedule.

How can I see the recurring orders that are setup?
To see your Master Recurring Orders head to Orders > Recurring Orders > Edit Master Recurring Orders. You will be shown a list of all recurring orders that are set up and the schedules.
How can I see upcoming recurring orders that are due to be sent
To see the upcoming recurring orders that are scheduled to be sent navigate to Orders > Recurring Orders. You will be shown four weeks worth of scheduled recurring orders.
Can I edit or cancel a recurring order once it's been sent?
Once a recurring order has been sent you will have to contact the supplier to make changes. Find out more here.
If I already have a standing order setup with a supplier should I still setup a recurring order?
All ordering should be done within Edify so it's important to transfer any standing orders into recurring orders in Edify. To do this contact your supplier to let them know that moving forward orders will be sent by Edify on a recurring schedule and they should remove any standing orders from their system. This ensures you don't accidentally receive double orders.
If I have a standing order setup with a supplier that does not accept email or whatsapp ordering can I still setup a recurring order in Edify?
Yes, even if your supplier does not accept email or whatsapp orders it is still possible and important to setup a recurring order in Edify. In these instances please make the Support team aware and they will assist with setup.
