Process sickness, leave and special leave

It is important to keep track of sickness and leave. Read here what to pay attention to.

Just like worked hours, you can also keep track of team member's unproductive hours. When you add a new hour entry, you can select 'leave recorded', 'special leave' or 'sick' for Type of hours. By default, the type is set to 'hours worked', but you can easily change this by clicking the arrow and selecting a different option.



Type of unproductive hours

There's no separate hour type in Eitje for “Parental Leave”. The choice to record this as leave, special leave or not at all has consequences for the leave or hour balance and payment. This varies by company.



Sick hours

If someone is sick, there are two things to consider:

  1. Report a team member sick in the planning: To ensure that you do not schedule a sick team member, you can report the team member as sick in the planning. If this team member is already scheduled, it will be indicated as a conflict.

  2. Register sick hours: Reporting someone sick in the schedule, does not automatically register the hours as sick hours. This still needs to be done separately in the time registration. If you do not register this correctly, the overtime balance will become incorrect.


    There are two way to register sick hours:

    • If a team member was already scheduled before becoming ill, the shifts will also appear in the time registration as 'scheduled hours'. When approving the hours, you can change the Type of hours to 'sick'.

    • If the team member was not yet scheduled, you have to add a new hour entry in the time registration. For Type of hours you choose 'sick'.


Leave hours

Leave hours are deducted from the team member's leave balance. Therefore, they must be registered. Otherwise, the balance will no longer be correct.

There are two ways by which leave hours are registered:

  • Leave usually appears in the hours registration through a leave request. In the leave request, you can specify how many hours of leave are being taken. If this request is approved, these hours will automatically appear as leave hours in the time registration.

  • If no leave request has been submitted, you can still add leave hours in the time registration. Simply add an hour entry and assign them the leave hours type.



Special leave hours

Special leave is used when a team member is paid but cannot work, often due to special circumstances such as a funeral. Special leave has the same effect as worked hours: the hours are not deducted from the leave balance, count towards the plus/minus balance, and are included in labor costs.

Here's how you can register special leave: You can add a new hour entry and select 'Special Leave' for Type of hours.
