Minimum staffing (previously: automatic lock)

To avoid that too many team members are unavailable at the same time, you can set a minimum staffing rule.

Do you want to put a limit on how many people are unavailable, or do you want to make sure that not more than a certain number of team members is unavailable? Then you can use the minimum staffing setting.

What is the 'minimum staffing' setting?


What is the 'minimum staffing' setting?

With this setting, you can determine the minimum number of team members you need available per team, per day.

➡️ Example: If you indicate that you need at least seven out of ten team members on Saturday in the Kitchen team, no more than three team members can mark themselves as 'unavailable' that day.

⚠️ Note: This setting is only regarding the availability of team members: leave and sick leave are not taken into account here.

If a team member wants to report that they will be unavailable, the system will first check if the minimum staffing setting can allow it. If not, the team member will be notified that they can no longer mark themselves as unavailable.

⚠️ Note: Admins and Managers can overrule this setting. This means they can always change their own, and other team members' availability.



Set up minimum staffing

You can access these settings in two ways:

  1. Use 'Planning' in the main menu to go to 'Team availability'. On the top right you find 'Settings'.

  2. Use the menu icon in the top right corner of Eitje, and choose 'Venue settings'. Here you find the option 'Availability'.

A new window opens. Here you go to 'Minimum staffing' where you can add the numbers per team, per day.


Frequently asked questions

  • Why can't I find minimum staffing on the team availability page?
    ➡️ The default status of your team members might be set to 'unavailable' in the availability settings. You cannot use the minimum staffing setting in this case.

  • Why can some team members not mark themselves as 'unavailable', even though there are plenty of team members available in that team for that day?
    ➡️ This team member is probably part of several teams, and their availability causes a conflict in a different team.

    Example: A team member is part of team 'Office' and team 'Shop'. He wants to mark himself as unavailable on Saturday. In team 'Office' at least 3 out of 4 team members need to be available, and in team 'Shop' 5 out of 6. In team 'Office', one team member has already marked themselves as unavailable, in team 'Shop' no one has yet. Still, team members can no longer report themselves as unavailable, because all teams are taken into account.
    So, in this case, team 'Shop' would allow the team member to be unavailable, but he cannot, because the team 'Office' has met the minimum staffing.
