Settings for time registration

Read more about the different settings for the time registration.

It is important that you configure the settings for the time registration correctly, in order to properly process the hours of your teams.

⚠️ Note: The settings apply per venue. If you work with multiple venues, any adjustments need to be made per venue so that, if desired, you can have different settings for each location.

You can find all settings for time registration in the company settings in the top right corner of Eitje.


Basics

The basic settings of the time registration are 'Time registration', 'Team members', 'Roles', and 'Times'. They can be found in two places in Eitje:

  1. If you are working in the 'Hours' tab, click 'Tools' in the top right corner and go to 'Settings'.

  2. Go to 'Company Settings' in the top right corner of Eitje, choose 'Time registration', then 'Basics'.

Time registration

Under 'Time registration' in the basic settings, you can activate or deactivate the time registration, and choose a start date.

  • Time registration active: If you create an account with Eitje, you have the ‘Hours package’ by default, and the time registration will therefore be activated.

    If you do not wish to use this feature, you can disable it here. Learn more about the prices on our website.

    • ⚠️ Note: Only team members with the 'Admin' role can activate/deactivate the time registration. It can be disabled at any time.

    • ⚠️ Note: Other functionalities, such as leave requests and overtime balance, are directly linked to the time registration, and cannot be used as long it is not activated.

  • Start date time registration: This determines the date from which hours are registered. All time entries before this date will not be visible in the registration. The start date can be changed at any time if ever needed.

Team members

Under 'Team members' in the basic settings, you can determine what team members can or cannot adjust themselves after their shift has ended.

  • 'Can adjust their hours': This setting is active by default . If the actual start and end times differ, the team member can adjust it afterwards. If you turn this setting off, they cannot.

  • 'Can add their own hours': This setting is inactive by default . Use this setting if you allow team members to add new hours for themselves, while they were not scheduled.

  • Deadline for registering hours: Once the deadline has passed, team members can no longer adjust their worked hours, break, or meal. This will also not be possible when the hours have been processed and are in status ‘approved’.

⚠️ Note: After making adjustments, the hours will be in status ‘’pending‘’. Team members can never approve their hours themselves, without extra rights.

Roles

Under 'Roles' in the basic settings you find 'Time limit for adjusting hours'. With this setting, you set a limit, so that hours in the past can no longer be adjusted by anyone with the role 'write hours' or 'approve hours'. Per role, you can set this limit:

  • How many days back can this be done with the 'write hours' role?

  • How many days back can this be done with the 'approve hours' role?

Times

Under 'Times' in the basic settings you find two options:

  • 'Rounding times': This setting determines which options you can select as start and end times. when adding or adjusting hours. For example, you select ‘Per 5 minutes’, then the options will be: 09:00, 09:05, 09:10, etc.

  • 'Automatically clocking out at': This set time ensures that team members who have forgotten to clock out through the clocking system, are automatically clocked out to stop the clock from adding time to their shift.

    • Many companies work through the night. Therefore, this is set by default to 06:00am. You can, however, disable this setting. Read more about it in the Clocking System Settings.
