Receipt Submission Guide

What sales associates need to know about submitting receipts.

✅ Submission Requirements:

To keep reviews smooth and prevent fraud, associates must follow these requirements when uploading receipts:

  • Store address: the receipt must come from an eligible store in the campaign.

  • Purchase date: must fall within the campaign’s active dates.

  • Unique invoice/transaction ID: each receipt needs its own, so duplicates can be detected.

  • Full receipt image: one complete, clear photo of the whole receipt, with customer information covered.

  • Authorized submitter: only the sales associate who made the sale, or their store manager, can upload the receipt.

Protecting customer information
Associates should cover any customer or patient information (name, address, payment details, health information) before taking the photo, using a marker, sticker or sticky note. The invoice ID, date, product and price must stay visible. If something is missed, our review team can redact it, and the receipt won’t be rejected for that alone. 💡 Tips for Success

  1. Make sure the image is clear. The receipt should be legible and complete, with no glare or shadows.

  2. Highlight the qualifying items. Using a highlighter on the paper receipt before taking the photo helps reviewers find the right product, especially when there are several. Highlighting is fine, but changing anything else on the receipt (date, price, invoice number, product) is treated as tampering and will be rejected.

  3. Verify the information. Double-check the pre-tax sales amount, product category and SKU.

  4. Check the campaign criteria. Review the campaign notes for the date range, eligible products and price points.

  5. Ask for help. If an associate is unsure about a restriction or requirement, they can contact Live Support in the app.

📢 Submission Status Updates: Approvals & Rejections

Once a receipt is submitted to a live campaign, associates can track its status anytime. Reviews typically take 24-48 hours. With notifications turned on, they get real-time alerts in the ENDVR mobile app when a receipt is approved or rejected.

Handling rejected submissions
When a receipt is rejected, the associate receives a specific reason.

  • If the problem can be fixed (a blurry photo, a missing invoice number), they can resubmit. A resubmission after a rejection doesn’t count as a duplicate, because a receipt is only a duplicate once it has been approved. Associates should wait for the rejection notice before resubmitting, and should not submit the same receipt more than once while it is pending.

  • If the problem can’t be fixed (a date outside the campaign, an ineligible product), resubmitting won’t help.

  • Submissions close when the campaign ends. Receipts can’t be submitted after that, so fixes need to happen before the end date.

  • If an associate thinks a rejection was a mistake, they can contact Live Support in the app, and our Support Team can clarify or escalate it for review.

✅ Important: a rejected receipt can be reversed after further review, but once a receipt is approved and rewarded, it can’t be reversed.

Common reasons for rejection

  • 📌 Doesn’t meet campaign criteria: the receipt doesn’t qualify under the campaign rules.

  • 📸 Blurry or unreadable: image quality prevents verification.

  • ⏳ Outside the campaign timeframe: the date isn’t in the eligible period.

  • ✏️ Altered or modified: the date, price, invoice number or product has been changed.

  • ➿ Duplicate: the receipt was already approved, under the associate’s name or a colleague’s.

Improving submission accuracy

If an associate repeatedly submits incorrect receipts, our Support Team will reach out with best practices to improve their approval rate. Associates with questions about a sales incentive can contact Live Support at any time.
