How to Create & Duplicate a Class

Learn how to add Classes under your Programs

To open enrollment, you will need a Program with a Class inside of it with a Capacity of at least one.

While creating Classes is easy to do, there are some nuances to the options that you should be aware of. The table below demonstrates how some settings are inherited from the Program or need to be set within the Class directly, depending on the Enrollment Model you've selected for a given Program.

You can choose your Class Type only when you set days/dates when the Class occurs under Step 4 - "When Class Happens."

To create a Class, navigate to the Classes page (this may be called something else if you've customized it, i.e., Sessions, Groups, etc.), and follow these steps.

Step 1 - Add Class

Select the Program to which you want to add a Class. Click the Add Class button on the right.

Step 2 - Class Details

Next, you'll get a little drawer on the right side where you can set up the details of the Class, including the following information:

  • Name - Create a title for the Class.

  • Select Instructor(s) - Select from the list of instructors you imputed under the “users” section. Check out this support article if you need to know how to add an Instructor.

  • Capacity - Put a limit to the number of Enrollees in this Class.

  • Class Description - Before enrolling in this Class, Enrollees will see this description. This is entirely optional. This description can be formatted with headings, paragraphs, colors, etc.

Step 3 - Pricing (if applicable)

If you set the pricing to be on the Class rather than the Program, you can add the pricing here. Otherwise, skip this section.

Select which payment option you would like available to Enrollees:

  • Free - If you do not charge for your Class, then simply select Free, click save, and then you’re done! Move on to the next step.

  • Fixed Cost - Select this option if your Class collects Installments, Scheduled Payments, and/or Pay-in-full Options.

    • Enter the total cost of the Program by adding charge items and assigning a cost to each.

    • Add one of the following Payment Plans (unless you don’t want a payment plan option)

      • Installment Plan - The total price is invoiced immediately, but the balance is paid over time.

      • Scheduled Plan - The total price is split into payment events due on specific dates.

      • Subscription Plan - The price of the Class is invoiced and paid on a fixed frequency that recurs starting on the date of enrollment.

  • Subscription - Use this option if your Class has repeated payments from the date of enrollment, with no pay-in-full option.

Step 4 - When Class Happens

Next, you will need to enter when the Class happens. Add a start and end time and set the dates when the Class occurs. You are presented with the option of choosing your Class Type only when you Set days/dates when the Class occurs.

There are two types of Classes you can choose from:

  1. Single Class: a unique Class that meets however many times you set on the calendar. When people enroll in this Class, they are expected to attend on every date the Class meets.

  2. Series: a unique Class that meets once on each date set on the calendar. When people enroll in this Class, they are expected to attend only on those dates they select. A good use-case for a "Class Series" is if you have four different dates for a class that starts at 7:00 p.m. each day. Your Enrollees have to choose which of the four dates to attend.

IMPORTANT NOTES ABOUT SERIES CLASSES:

  • Series Classes can ONLY be used on the Classes Enrollment Model (NOT on Simple or Days per Week)

  • If Series Classes are used in conjunction with Classes Enrollment Model > Multi-Lists, the Series Class does not display within the Multi-List shown in the Admin portal Class view. However, the classes WILL show under each class selection list on the enroll form.

  • You can make a single Class into a series Class. Series Classes have to be created from scratch or duplicated from an existing series Class.

  • Series Classes are divided automatically by "Current" and "Past" depending on the dates. All past dates will not show on the Enroll Form.

Step 6 - Email Reminder

The last step is to set up the Email Reminder. To remind everyone of the Class by email, select when you would like the email sent out. Add a custom message to the email (optional).

You can preview the email notification (however, it tends to be very tiny). Here is the preview email enlarged:

How to Duplicate a Class

Once you've created a Class, you can easily copy it into other Programs. If you have a Class with similar schedules, dates, capacities, etc., it's easier to duplicate the Class instead of starting over from scratch. These steps show you how to do this from within the Class itself.

NOTE: This is different from duplicating a Class into a different Program. To learn how to do that,

Step 1 - Find the Class

Head to the Classes page. Click on the Class you want to duplicate, then on the pencil icon to edit (as seen below).

Step 2 - Duplicate the Class

Click the "Duplicate" button to duplicate the Class. The window will quickly switch to the "duplicated" Class.

Step 3 - Change Details

Change the name of the Class, the Instructor (if applicable), and any different details, such as Class description, dates, times, etc.

Step 4 - Add Another (optional)

When done, you can click "Done" or "Add Another" to keep duplicating and adding another Class.

NOTE about Series Classes

If you have duplicated a Series Class and can't change the dates (an error message says someone is enrolled); look up the name that is displayed on the error message. There is probably a deactivated enrollment on that date that needs to be deleted. Click the trashcan icon beside the enrollment to delete it.

How to Duplicate a Class into Other Programs

Duplicating a Class is like adding a new Class to a Program. In other words, all you are doing is copying the shell of the Class (no Enrollments go with the Class), which are the settings that can include the following:

  • Class Name

  • Instructors

  • Capacity

  • Class Description

  • Start/End Times

  • Class Schedule

  • Email Reminder

To duplicate a Class into one or more Programs, follow these steps:

  1. Head to Classes on the left sidebar. Click on Duplicate Classes at the top.

  2. Select the Class(es) you wish to duplicate, either by selecting them one by one or by selecting all. Then click Duplicate.

  3. This new window will show how many Classes you are duplicating (see below). Click the Program on the right side to which you want to copy the Class, then click Confirm.

    You can only click on one Program in this window; to copy the same Classes into more Programs, click the Duplicate button to go through the process as many times as needed.

  4. You may notice a switch at the top called "Change Program." If switched on (like the image below), any Programs with an Enrollment end date in the past will show.

NOTE about Waitlists: At the writing of this article, Waitlists cannot be duplicated. However, if you need to duplicate Classes and Waitlists for all Programs, you can duplicate an Enrollment Period.
