Do you need to import Accounts into Enrollsy? Here's how!

First, head to the Enroll page and click on Import on the top navigation menu.

Step 1 - Upload CSV File

Click "Select CSV file" to upload your file. It will need to be saved as a CSV file to be imported.

NOTE: Make sure every row in your file has an email address, or the import will fail.

Click the Select CSV File, find your document on your computer, and click Open. Read the "Import File Hints" listed to ensure your information uploads correctly.

Step 2 of importing accounts in Enrollsy

You can click Continue to go to the next step.

Step 2 - Map Columns

Next, you will see two columns:

  • The first column (CSV Column Names) is the list of items on your file.

  • The second column (Enrollsy Column Names) lists the Enrollsy software's names.

Drag and drop the names that match from the second column to the first. As you move them, they will disappear from the Enroll Form Fields section.

Step 3 - Clean Up

The next step is the Clean Up step. Here, you mark (if any) rows that should be excluded during the import:

  • Rows highlighted yellow show that the Primary Account Holder's email address is already being used. During the import, any data already in that Account will be updated to match the data imported.

  • If any of those Accounts have the same name on the Account with the same email address, the system will show an error message (see below). This could cause issues with the import.

  • The rows highlighted in red are missing the required information, which will cause the import to fail.

Step 4 of importing accounts in Enrollsy

How to Exclude Rows:

  1. Select the row by clicking on the box on the right

  2. Click the "Exclude" button on the right

When done cleaning up, click "Continue."

Step 4 - Add to Program/Class

Now add the Enrollees to a Program and/or Class.

  • Select the checkboxes beside the Enrollees (or click the top to select all).

  • Click the +Program/Class button to the right to add the Enrollees to a Program and/or Class.

Step 4 of importing accounts in Enrollsy

Change the "Rows per page" at the bottom to ensure all Enrollees are assigned to a Program/Class. If you are missing some rows, you will get an error message like this:

Step 4b - Include Enrollments in Zapier

If you are using the "New Enrollment Trigger" in Zapier, check the box to include the imported enrollments at the bottom of the page:

Click "Submit" to continue or "Go Back" to make edits.

Step 5 - Upload Results

A new window will pop up where you can select the Enrollment Period/Program/Class. Once you've assigned all Enrollees, you can click the submit button at the bottom of the page.

You will get a pop-up message showing your Upload Results that can include any combination of the following:

  • "Import was successful" message

  • Number of Accounts Updated (already existed in Enrollsy)

  • Number of Accounts Imported (new Accounts)

upload results of importing in Enrollsy

  • Error messages (rows of data that DID NOT get imported)

Clicking on the down arrow will show all the email addresses that were updated, imported, and/or not imported. You can view the emails of rows that didn't import due to errors and the number of accounts that did import.

At this point, you can either view imported data or import again.

Step 6 - View Imported Data

If you wish to view the imported Data, click "View Imported Data." This will take you to the Classes page where you assigned the enrollments.
