Custom Report Examples

See the different reports you can build in Enrollsy

In Enrollsy, you can build custom reports using any information from your Enroll Form or a Program Form. Add office-use-only fields to your Enroll Form, or use Tags, to customize reports even further. See How to Create a Custom Report on the Enrollees Table for step-by-step instructions.

Enroll Form Custom Reports — Fields You Can Report On

The Enroll Form lets you build custom reports using fields such as:

  • Preferred Contact (Email/Text)

  • Emergency Contacts

  • Release (or "no release") Contacts

  • Medical Info, including allergies, medications, medical conditions, etc.

  • Special Needs or Special Services

  • Custody or Visitation Rights

  • Forms

  • Preferred Days/Times

  • Start Date/Enrolled On Date

  • Special Services (therapy)

Program Form Custom Reports — Fields You Can Report On

A Program Form (specialized questions for one or more programs) lets you build custom reports using fields such as:

  • Drop off/Pick up times

  • Start dates / Withdrawal date

  • Shirt sizes

  • Headshots (acting)

  • Infants only (require bottle, etc.)

  • Permission Forms

Tag-Based Custom Reports — Using Tags to Build Reports

A Tag is a label on Enrollments, Enrollees, or Accounts that appears in various places in Enrollsy. You can build custom reports using these types of tags:

  • Enrollment Tags — appear on each enrollee's Enrollment Card and are attached to that enrollment

  • Account Tags — appear on the Account page and Billing page

  • Enrollee Tags — appear on the Enrollee page (admin portal) and the enrollee's timeline

Here's a small sample of the kinds of reports you can build using tags:

  • Tours

  • Type of Account (free/subsidized, etc.)

  • Preferred Contact

  • Issues (bad email, no photo, etc.)

  • Account Reviewed

  • Enrollment Link Sent

  • Full-Time/Part-Time

  • Photo Permission

  • T-shirt (needed or already given out)

  • No Contact Info or Photo

  • Subsidized or Free Tuition

  • Allergies

  • Medications

  • Headshot

Custom Labels — Contact Card, On File, Has PIN, and Balance

A few custom labels add even more reporting power: a contact card, a PIN on file, and a balance. Find these under Account in the filter panel.

Use one or more of these labels to customize a report:

  • Contact Card — adds a contact icon beside each account. Click it to view the primary account holder's email address and cell phone number.

  • On File — shows who has a card or bank account on file, using a bank icon for a bank account or a credit card icon for a card.

  • Has PIN — shows who has a kiosk PIN set up. See How to Set Up or Reset the Kiosk PIN for more information.

  • $ Balance — shows any current balance on an account. Balances due appear in red.

    Credits on an account appear in green, in parentheses.

    If there's no balance or credit on the account, the report shows a black zero.

Specific Examples — Common Custom Report Questions

How can I create a report with course name, enrollee names, and transactions and payment plans attached to a specific course?

Use the Invoices Report, filtered by class, to build this report. It includes enrollee names along with the payment plan and amount, and you can export it to include the date, payment plan, amount, status, invoice balance, enrollee name, enrollment, class, and primary account holder name.

For transactions specifically, use the Transaction Export report. It shows every transaction in Enrollsy, including which class each transaction was tied to. Download the CSV and sort by the class column to see all transactions for a specific course.

How can I print a list of enrollees who have paid their enrollment fees in Enrollsy?

One method is to view paid invoices:

  • Go to your Invoices tab and select Paid Invoices

  • Make sure you have the correct location selected

  • Select all the invoices (scroll to see all, and use Select All)

  • Click the download icon to export as a CSV file

  • Open the CSV and sort by payment plans to see who paid in full

Alternatively, use the Enrollees table to see who paid in full:

  • Go to the Enrollees table

  • Filter on Payment Plan Type as None to see those who paid in full

  • Select the records you want to include

  • Click the print icon at the top right

If you want to see who paid one or more specific charge items, run a Charge Item report:

  • Go to Reports and select Charge/Discount Items

  • Enter the date range

  • At the top, select the charge items you want to view

  • Click the download icon to export as a CSV file, or the print icon to print it
