Welcome to your latest Eploy update, where we’ve introduced exciting new features and enhancements designed to streamline your recruitment processes and improve user experience.
NEW! Eploy, Refreshed and Refined!
Taking inspiration from the latest research in User Interface Design, Eploy’s Core System, Hiring Manager and Employee Portal have been refreshed and improved to give the system a modern, refined look and feel, while preserving the layout and features you know and love.
In addition to the updated UI, users of the Core System can now take advantage of three new themes – Steel Horizon, Candy Skies and Forest Whisper - accessible from within the Account Settings page.
Themes are available in Light and Dark mode, or can match your computer’s settings, and are applied on a user-by-user basis.
This exciting new look will be applied to your system automatically as part of your upgrade with Steel Horizon (light) set as your default theme.
NEW! Username Enumeration – “Email Already Exists” Process
As part of our ongoing commitment to platform security, we've introduced a further enhancement to help keep candidate data safe. When someone attempts to register using an email address that already exists in the system, rather than indicating that the email address is already in use, Eploy can now send an email to that address, informing the owner of the registration attempt and, optionally, providing instructions on how to reset their password.
This new process forms part of your Candidate Security Settings and works alongside your existing email address validation tools to provide an additional layer of protection.
📌 Note – an additional Portal Notification email template is needed for this feature to work properly. Admin > Contact Templates > Portal Notifications > New > Candidate Registration – Email Already Exists.

NEW! Double Group-By on a Snapstat
Eploy’s most frequently used dashboard widget is getting a long-awaited update – the ability to group data by one field and then further break that information down by a second.
Although it may sound like a minor update, being able to group a Snapstat by 2 fields at once will quite literally transform how you use your dashboards.
Here are a couple of common examples.
Viewing a list of Active Vacancies by Department would usually mean having a single widget showing the Departments with Active Vacancies which you’d then click on to view the Vacancies, or a different widget for each Department which is then grouped by Vacancy Title. This can now be accomplished using a single widget.
Looking at ED&I or Source data and breaking it down by a single characteristic, department, stage, etc, would have meant at least 4 or 5 widgets…maybe even more, depending on what level of detail you wanted to go to. Again, you can now combine these two identifiers together to greatly reduce the number of required widgets

NEW! User Activity Export Report Enhancements
Eploy’s most powerful report, the User Activity Export Report, has now been enhanced, giving you the ability to include Application History items within your reports.
By including fields like the Workflow Stage and Status, Application Status, Action Outcome, Hire Status and History Date, you’ll be able to include the date and time each application was progressed through the workflow, allowing for more deeper insights into process and team performance.
And don’t forget, you can now run these reports against Applications, not just Vacancies and Hires, giving you the ability to report on a specific list of Applications, rather than all applications on a Vacancy.
NEW! Reference Collection Audit
Recruitment Teams working within Regulated industries are frequently asked to provide a full audit trail for many activities carried out as part of the recruitment process.
References requested and returned via Eploy will now include key audit information, viewable within a log table, added to the end of each downloadable reference.
Audit data includes Referee Name, email address, unique request & referee ID, along with a status history log including the date and time the status was changed, by who, their IP address and browser details.
📌 Note - audit details will only be available for references received after your system is upgraded – historic references will not include this information. Also, only Standard statuses are tracked (Requested, Submitted, etc). Custom statuses will not be tracked.
NEW! Export Drop Down Lists
From time to time you’ll need to edit the contents of a drop down list. This could be due to several reasons, ranging from departmental and location changes all the way through to new regulatory and reporting requirements.
Drop down lists with only a handful of entries are relatively easy to update directly within Eploy, but occasionally you’ll come across a list with 50+ entries that need changing.
To make this process quicker and easier, Eploy has introduced the ability to export specific drop down lists to Excel, enabling you to make your updates outside of Eploy, then upload your replacement list back into the system, updating the drop-down list as you go.
EPLOY ENHANCEMENTS
UPDATED! ChatGPT Improvements
Since its introduction, Eploy’s ChatGPT integration has helped Recruitment Teams and Hiring Managers to write and update both Job Descriptions and Emails.
We’ve enhanced the ChatGPT interface, bringing it inside our AdTuner, allowing both tools to work more closely together.
When using text generated by ChatGPT, the AdTuner will automatically update your scores, allowing you to see the impact of your changes in real-time.

UPDATED! Additional Guidance for Sender ID
Help text has been added to Sender ID fields within Email and SMS templates to remind users that unregistered Sender IDs may cause messages to be sent to Spam folders
UPDATED! UI Improvements within User Provisioning
Improvements have been made to the user interface within the User Provisioning screen making it easier to identify data errors.
