ChatGPT

Our ChatGPT integration brings AI to your job descriptions, helping you to attract the right candidates, communicate clearly and prepare for interviews, all within Eploy.


Getting Set Up

To get started, you need to set up your ChatGPT account, which can be provided either via OpenAI or Microsoft Entra (Azure). Once you have your account, you will need to provide the following details to our Success team to get this set up for you:

  • Open AI:

    • API Key

    • Model Name

  • Entra:

    • Entra Key 1

    • Entra Endpoint

    • Entra Deployment Name

🤓 Tip - The ChatGPT account will need to have credit/billing enabled and may have costs associated from your chosen provider.


Access ChatGPT

Once set up, you can decide which users can benefit from Chat GPT by updating their roles & permissions. The specific permission required is available in the Recruitment/Activity section, called AI Prompts.

Having access to the right permissions will then mean that the ChatGPT icon will appear when editing job descriptions or when writing emails.


Using ChatGPT in Vacancies

When editing a job description, clicking ChatGPT will give you the option to either Write me a new Job Description or Use Existing Text, both of which will open up the ChatGPT interface. If choosing to write a new job description, the tool will take information from the vacancy, such as the title and the location, to write a full new advert. The existing text option will copy your current job description and, for both cases, you can then type messages / prompts for ChatGPT to follow.

🤓 Tip - By clicking on View Suggestions, you can see a list of standardised prompts, designed to help you interact with ChatGPT. Prompts can be amended from within Admin > Drop Down Lists > AI Prompts

Use the prompts / enter instructions for ChatGPT to rework your job description until you are happy with it, then you can use the following options to copy the responses:

  • Copy - this will simply copy the response, so you can paste it in accordingly.

  • Use Suggestion - this will automatically replace the original job description with the new response, saving the need to copy and paste. This will also close the ChatGTP window.

🤓 Tip - Once you have finalised your job description, why not use ChatGPT to help you prepare for interview by writing some suitable interview questions? Select this option from the prompts available to get up to 10 interview questions.

ChatGPT and AdTuner

The ChatGPT interface can also be launched from within the AdTuner screen allowing you to see, in real time, what impact your updated Job Description will have on your AdTuner score.

Using AI: Tips & Tricks for writing Job Descriptions

Why AI?

Using AI to help you with your job descriptions will help ensure your content is accurate, inclusive and is produced efficiently, saving you hours if you are having to create new adverts or update outdated ones. The time and effort of writing from scratch is reduced to just a couple of clicks, whilst ensuring you increase inclusivity and reduce bias, by leaning on the machine learning and standardisation offered by AI.

AI can also support with Search Engine Optimisation (SEO) and Candidate Attraction, ensuring job board and applicant searchability through relevant keywords and sentence structure. In the background, AI can also analyse industry data, to ensure that your job descriptions reflect current trends, skills and qualifications needed for the role.

Tips & Tricks: Optimizing Job Descriptions

So how can you leverage AI to do this for you? To help save you time and effort, to optimise your adverts for SEO and attract the right candidates? Try these hints and tips to make the most of the tools available.

Within Eploy

  • Use AdTuner and ChatGPT together! Open the AdTuner and review your current scores. Too much gender bias? Reading ease not where it needs to be? The AdTuner is great for analysing your current job description, where as ChatGPT can help you increase these scores. Once you have picked the metrics you want to improve on, open ChatGPT with the prompt of 'Use Existing Text' and ask it to improve where you need to. You can then use the revised text and the AdTuner will automatically rescore! Utilising both tools will allow you to focus on improving each key category, until you are happy with your job description.

🤓 Tip - If you perfect your job descriptions against your vacancy templates, the job descriptions will be perfect against all jobs raised from that template! If you have already created your vacancies, you can use Bulk Action to update all of them in one go.

  • Use your corporate website to drive content. Getting the tone of your job descriptions is important to portray your brand and your culture, so if you are using AI, you will want to train the tools to use your language. Try pasting a link to your corporate website into ChatGPT first, then ask it to create/update the job description based on the language, content and culture used within your corporate website.

Outside Eploy

  • Think about the ideal applicant for the role. What skills and experience would they have? What would their CV look like? By feeding this information into ChatGPT, you can ensure that the job description is designed to attract this type of candidate.

🤓 Tip - You can even start by using AI to generate a CV for your ideal candidate, then use that to drive the job description. Doing this will help ensure that your job description appeals to the right candidates, the candidates you are looking to attract.


Using ChatGPT in Emails

Whether you are creating an email template or constructing an email to send to a candidate, you can now use ChatGPT to help with your content.

Open the email editor and get started by clicking the ChatGPT icon. This will open the ChatGPT interface.

From there, type a message or select a prompt to instruct ChatGPT on how to help with your content. Once happy with the content, you can then copy to clipboard or copy the response into your email content.


Chat Prompts

There are three sets of chat prompts available within Eploy: Newsletters, Emails and Vacancies.

To view and amend your Chat Prompts, from the Menu, navigate to Admin > Drop Down Lists and select which set of chat prompts you'd like to view and amend from the Show Values For drop down list.
