British English is the default language of all Eploy systems.
Multi-national organisations, or those where English is not the primary business language, can take advantage of the Eploy Translation Tool, converting the language used throughout the system to their preferred language.
📌 Note unless requested as part of your initial system Implementation, the Translation Tool will not be available in your system. Please contact your Account Manager to discuss adding the translation tool to your system.
Translation Tool Overview
Once active in your system, access to the Translation Tool is linked to the System Admin (Drop Down Lists) permission, meaning if you have the ability to edit drop down lists, you'll also be able to use the translation tool.
Access the translation tool by navigating to Admin > Customise Fields > Translator.
Select which area of the system to translate using the Area to Translate dropdown. There are four main system areas you can translate:

Using the Translation Tool
Begin by accessing the Translation Tool and selecting the system area you'd like to translate.
There are two translation methods available to you.
Automatic translation
Automatic translation uses an integration with Google Translate to automatically translate all selected fields from English to your chosen language.
Look to the left-hand side of the translator tool and click the Translate All option.
Eploy will now use Google Translate to translate any options that have not already been translated into your chosen language.
📌 Note it may take some time for all translations to complete - the more options there are to be translated, the longer it will take
Once the translation task has been completed it's recommended to review the translations to ensure there are no errors in aspects such as dialect, tone, gendered language, acronyms or legal text.
Any errors can be corrected manually.
Manual translation
When manually translating an item, you first need to view the list containing that item.
Look to the left of the tool and click into the Incomplete section to view items that have not yet been translated, or the Complete section to view items that have already been translated.
Locate the item to translate and either enter the translation manually into the text box, or click Translate to translate that item automatically.
🤓 Tip if you can't find the item straight away, the tool includes a Search box.
Having completed your manual translations, click Finished - this will save the translations into your Eploy system.
Testing your translations
To test your translations open a private or incognito browser window and access the portal you have been translating.
As a default, the portal will open in your local language. To force the translation to appear add ?IsTranslationMode=true&Culture=[TECHNICAL CULTURE CODE] to the end of the website URL e.g. www.eploy.com?IsTranslationMode=true&Culture=fr-FR.
🤓 Tip if you don't know the Technical Culture Code for the language you're translating into, a quick web search can find this for you.
When viewing a translated Eploy website in this way, each field will display the translated label and the field reference in brackets.
If the translation is incorrect, copy the text after the comma (str_Ind1_Acc_Title1 in the example above) - you can use this to search for that specific field within the translation tool.
Searching for a field to translate
To search for a field to translate, access the translator tool, select an area to translate and select the appropriate option from the Incomplete and Complete lists on the left.
Enter the field label or field reference into the search box and click Search.

Review Your Work (QA)
Walk the full candidate journey - browse jobs, register, apply, upload documents, answer all forms, and check emails/notifications if applicable. Check through the Candidate Profile page, any error messages and functional pages such as the forgotten password page.
Open your careers site in an incognito/private browser window.
Switch to your translated language using the language toggle or technical culture code
Anything still showing in English has not been translated yet.
Return to the Translator and search for the missing fields by text or reference string.
Working as a Team
If more than one person is translating at the same time, work on different sections. Do not work on the same section concurrently - one person’s changes may not save if another is editing the same area.
Agree section ownership upfront (e.g. Person A: Website Translations; Person B: Program Fields; Person C: Drop Down Lists).
Communicate when running Translate All to avoid conflicts.
Stage your work: translate, then hand off to a reviewer for language QA.
Quality and Consistency Best Practice
Terminology consistency: Maintain consistent translations for key terms (e.g. “Apply,” “Register,” “Talent Pool”). Create a mini glossary as you go.
Style and tone: Match your brand voice. Avoid literal machine translations for slogans or sensitive content.
Placeholders and variables: Do not translate placeholders like
{0}or%USERNAME%. Keep punctuation around variables intact.Length limits: Short UI labels and buttons may truncate if translations are too long. Prefer concise alternatives.
Accessibility: Ensure translated labels remain clear and descriptive, and do not remove contextual hints.

Program Fields and Drop Down Lists - cover application forms and other candidate-facing content.
Walk through the candidate journey - register and apply for a job, step by step, to catch anything missed.
Repeat for any other websites if you have more than one (e.g. a redeployment site).

“Translate All” fills empty fields. It does not overwrite fields that already contain a translation. You can still manually edit any field afterward.

No separate publish step is required. However, you must click Finished at the bottom of the Translator to save your changes. Once saved, changes are live. Refresh your site in an incognito/private window (and/or clear your browser cache) to confirm everything looks correct.

If you change the English value of the field being translated, the translation tool will not re-translate. You will have to manually translate any changes made to the fields.
