Create a Hire
Hires can be created either from the Hires grid view (View > Hires > New) or from within the Application Dialogue - move your Application to a Hires stage and click Create Hire.
The amount of information you'll need to add will be dependant on the setup of your system but typically includes:
Details
Start Date and optionally an End Date
Created By can be used to track ownership of the Hire within the Core System. For example, to assign a dedicated member of the Onboarding Team to process the onboarding of a Candidate
Status is another area of the hire that will depend on the setup of your system. The status is typically used to track authorisation, onboarding completion and compliance checks.
Relationships
Vacancy, Candidate and Job Role will be pre-selected when created against an Application. Check this information is correct and amend if necessary
Optionally, set a Hired Organisation (if different to the Advertising Organisation) and select a Job opening
Choose whether to use the Vacancy Address or enter an Address
Salary
If your system uses Pay Salaries, you'll be able to select a Salary Band.
If not using Pay Salaries enter the Salary to be offered, Interval and Hours per Week to be worked. Again, this will be pre-filled when creating a Hire against an Application.
π Note when created against an Application, the Salary field will default to the maximum salary on the Vacancy.
From this point, all remaining fields will be custom to your system setup and should be completed in accordance with your local practices.
Click Save once finished.
Request Authorisation
Hires created within the Hiring Manager Portal, if needed, will automatically be sent for Authorisation. This is a manual, additional step when created in the Core System.
Having created your hire, edit it and scroll to Hire Authorisation Workflow and click Select.
Eploy will now automatically assign the correct Authorisation Workflow for this hire. If required, select suitable authorisers and click Save.
Open the Status drop down list and select the status corresponding to the first authorisation stage in the Workflow.
Click Save.
If configured to do so, Eploy will now send automated emails to your selected authorisers, in turn, requesting they authorise the Hire.
The Status will indicate the current authorisation stage.
Edit a Hire
There are two ways to edit a Hire:
Access the Hire Grid view (View > Hires), locate the hire to be edited and click the Start Date. This will open the Hire in an editable format
Within an Application Dialogue, whilst at a Hire stage, click the Edit pencil next to the hire details
Make your required changes and click Save.
π€ Tip if the change made would normally require additional authorisation, you may need to Remove the current Authorisation Workflow, Save, then edit and re-add the Authorisation Workflow. Alternatively, configure your Authorisation Workflow to account for changes and re-approvals.
