Reports in Eploy

Any data saved into a Record within Eploy can be reported on.

In addition to Dashboards and Widgets, Eploy includes a suite of standard and configurable reports.

πŸ“Œ Note It is currently not possible to generate reports on a schedule - all reports must be manually generated.


Accessing Reports

Reports can be generated either via the Reports button on the main menu, or via the Reports button on the toolbar of a Grid View (e.g. Vacancies, Candidates, Applications, etc).

Which option you use will be dictated by the type of report you wish to generate.

Main Menu Reports

The Reports button on the main menu allows you to generate reports on your own current personal activity. The reports generated here will only include data relating to Active/Live Vacancies that you are assigned to as a User.

This reports route does not allow for whole system reporting.

Use this option if you only want to report on your own activity, such as when generating Invoices within a Recruitment Agency or in preparation for review meetings.

Grid View Reports

The Reports button located on the toolbar within a Grid View allows you to generate reports on all records currently listed within the grid, irrespective of whether the record is active or not, or whether you're assigned as a User or not.

Use this option if you'd like to generate reports on all data within your system or specific filtered records.

πŸ€“ Tip If you need to generate reports on a regular schedule, set up a series of dashboard widgets to pre-filter the data for you, e.g. Vacancies raised Last Month. Clicking on the widget will take you to the relevant grid view and display the pre-filtered dataset allowing for more efficient reporting.


Generating a Report

Having clicked the Reports button, you'll be presented with the Report types available for that record type. Select the Report Type or Report Template you'd like to use - the reports interface will open in a new tab.

To build and generate the report:

  • Identify each field you'd like to include within your report from the list of available fields on the left-hand side of the interface - click + to add the field into your report

    • A maximum of 50 fields can be added to a report at any one time

πŸ€“ Tip Fields can be re-ordered by using the relevant Move button. They can also be re-ordered by dragging and dropping within the report viewer.

πŸ“Œ Note dragging and dropping fields within User Activity Export Reports is not possible.

  • Reports can be grouped and ordered by any of your selected fields - click Group By This or Order By This as needed

  • Click View Report when finished

The page will refresh and your report will be generated.

To export your report, scroll to the far right-hand side of the report and click the Export button - .

πŸ“Œ Note to export a User Activity Export report, return to the Report Builder and click Export as CSV.


Report Types

There are four main configurable report types available within all Eploy systems.

Candidate Tracker

Candidate Tracker reports are ran against Vacancies and allow you to report on the Personal Information and Activity of all Applications for the selected Vacancies.

A maximum of 2500 Vacancies can be reported on when generating Candidate Tracker reports.

Vacancy Tracker

Vacancy Tracker reports are ran against Vacancies and provide high-level information on your selected Vacancies.

When including Application fields, e.g. current workflow stage data, Vacancy Tracker reports will display the number of Applications currently at the selected stage and Status.

To view accumulative data, i.e. how many applications have been at a specific stage and status throughout the lifetime of the selected vacancy, use the Vacancy Tracker - Accumulative report type.

A maximum of 2500 Vacancies can be reported on when generating Vacancy Tracker reports.

Time to Hire

Time to Hire reports work in the same way as Vacancy Tracker reports in that you can report on the number of Applications at a given stage or status currently.

Time to Hire reports also allow you to include Time Differential fields, allowing you to calculate the time taken between workflow stages and statuses of both the Vacancy and Applications, based on the Earliest and Last activity recorded.

A maximum of 2500 Vacancies can be reported on at any one time and a maximum of 50 fields, including Time Differential fields, can be included within your report.

To add a time differential field:

  • Within the list of available fields, scroll down to the Vacancy Date Fields and Workflow Date Fields sections

  • Locate the field to use as the start point for your measurement and click the Clock icon (clicking the + will add that field as a date/time stamp):

    • Give the field a Name

    • Select the end point for your calculation

    • Select the time span format - Hours, Days, Weeks, Months, Years

    • Click Add Field when done

πŸ“Œ Note All time measurements within Eploy are based on a seven day calendar week. It is not possible to carry out a time measurement based on a working week.

πŸ“Œ Note Once added saved, time differential fields cannot be edited. If you have made a mistake, remove the field and re-add.

User Activity Export Report

User Activity Export Reports can be ran against any of the main record types within Eploy - Organisations, Contacts, Candidates, Vacancies, Applications and Hires.

There are three key things that set User activity Export Reports apart from our other report types:

  • 5000 records can be reported on at any one time, rather than 2500

  • Application History fields are included with this report type, allowing you to include the full history of every application being reported on, not just the current stage and status

  • Additional Activity Dates can be included, allowing you to filter the results based on a specific point in time e.g. only include Applications received after a specific date.

πŸ“Œ Note Even if you don't plan on filtering for an Activity Date, at least one must be selected for the report to be generated successfully.


Report Templates

Create a Report Template

Each of the report types listed above can be saved as a Template, allowing for quick access at a later date.

Whilst on the Report Builder screen, click Save Settings.

Give your template a Title and Description and select who to share the template with:

  • To share with the whole organisation select the option displayed within the Companies section - this will typically show the top-most record within your Organisational hierarchy.

  • To share with specific users, scroll through and select which users to share with. You must select yourself as a minimum.

Click Save when ready - the template will save and your report will run automatically.

πŸ€“ Tip When saving a Tracker or Time to Hire template you also have the option to Hide settings next time. When selected, the next time you run this report you'll be taken straight to the generated report.

πŸ€“ Tip Tracker and Time to Hire Report Templates can be made available to Hiring Managers within the Hiring Manager Portal. When saving the report, ensure you are sharing with a Company (the first option, above), then contact the Eploy Support team who will then be able to make that template available in the Hiring Manager Portal.

Access a Report Template

All saved Report Templates are listed within the Report picker drop down list. They will appear with the format Report Type - Template Name.

User Activity Export Report templates are not listed within the report picker.

To locate these templates, access the User Activity Export Report builder. Open the Report Options menu in the top right-hand corner and select a template from the Load Report Settings list.
