Referral Program Management

As a core system user with the relevant permissions, you will be able to track referrals, bonuses and points on your dashboard, as well as action any payments and requests as required.


Manage the program as a whole

View Referrals

All referrals made can be viewed within View > Employee Portal > Referrals.

All referrals made are displayed in a Grid that can be filtered by Contact, Candidate, Vacancy, Application Stage, Status Type and Source. There's also a Search box and Advanced filter available.

To view more detail about the referral, click the Referral Date.

Referral information can also be viewed within the Activity panel of the Application Dialogue.

The Referral screen is broken down into four sections.

  • Referrals provides high-level information relating to the referral including the current stage of the Application and the option t view the Application Dialogue.

  • Contact displays information relating the Contact record of the referring Employee.

  • Bonus displays the current status of any Bonus that's payable. If no bonus has been allocated, click Update Bonus to select one or choose another. The status of each bonus payment can also be managed from here.

  • All Activity relating to the referral is displayed on the right-hand side of the referral screen.

Creating a Referral

If an Employee has referred a Candidate outside of the Employee Portal, a Referral can be created within the Core System, allowing it to be included within your Referral program.

Locate the Candidate in question and view their Application.

Click on the 3-dot Options button and select More > Create Referral.

Select the Contact of the referring Employee and click Save.

View and manage Points

Points can be viewed within the Points tab of the Employee Referrals screen.

Within the grid you'll be able to view all Points transactions and filter based on Candidate / Vacancy / Reward / Reason etc.

As well as reviewing and filtering, you can manually adjust the points for any reason; this includes giving out additional points as a type of reward, or removing points if anyone was to forfeit them etc.

To manually adjust the points balance of any Employee click Adjust Current Balance within the Toolbar and select the Contact in question.

You'll now see their current balance. Use Adjust Balance to increase or decrease their points balance. Add suitable comments and click Save when done.

View and manage Bonuses

The bonuses tab within Employee Referrals allows you to track all bonuses that are due or are going to be due if the referred candidate is Hired. This can help with forecasting spend, as well as ensuring all bonuses are paid on time.

From the grid, not only can you access all of the referral information by clicking the Referral Date, but you can also see the bonus due date, the amount due and the current status.

Simply use the status, which is clickable from the grid or you can update within the Referral, to indicate to the Employee whether the payment is pending, is paid or is declined. This will then be visible in the Employee Portal to the referrer.

🤓 Tip Don't forget to update the status of a Bonus once it's been paid.

View and manage Rewards

Within Rewards, you can see any rewards which have been requested, paid or declined, using dynamic filters to help you search through the data. From here, you can either update the status from the grid or click into the Request Date to change any of the other details.

You can also grant any additional rewards by clicking New, where you can give a reward to any available Employee.

Rewards granted manually do not automatically adjust the points balance of the Employee.

🤓 Tip Don't forget to update the status of a Reward once it's been fulfilled.

View Shares

The Shares tab allows you to track which Employees are making shares, including where those shared are being sent. This also allows you to see if any referrals have come from those shares.


Managing the program for a single Employee

All referral activity relating to a single Employee can be accessed from within their Contact record.

Locate the Contact record in question, either via the Quick Search or from within View > Contacts > All Contacts.

Within the Record bar, click View, next to Employee Referrals.

You'll be presented with a full breakdown of their referral activity, including:

  • Current Level

  • Total points accrued

  • Current points balance

  • Referrals made

  • Bonuses earned

  • Rewards redeemed

Within the information panel you also have the opportunity to create a one-off reward and adjust their points balance.


Referral Program Dashboards - Widget Inspiration

Unless linked to another system via our API, you'll need to manually stay on top of your Reward fulfilments and Bonus payments.

As with all data in Eploy, Rewards can be reported on and managed via your Dashboard.

You're welcome to configure your dashboard however you wish, but here are a few ideas to get you started.

Referrals Leader Board - By User
