Creating a receipt bundle

In eTasku, you can group receipts into bundles—for example, a credit card statement and all related receipts.

What are the benefits of this feature?

Receipt bundles can make it easier to manage your company’s credit card statements. When a credit card bill arrives, all related receipts are already grouped together in a bundle, ready for processing. When a receipt bundle is transferred from eTasku to the accounting software—either via an integration or a transfer file—it will be assigned a single receipt number instead of multiple separate ones.

As an eTasku user, you can create a receipt bundle and move receipts into it through our web portal. Accountants also have access to this same functionality.
If you're unsure whether bundling receipts is the right approach, we recommend discussing it with your accountant before creating any bundles. Please note that creating receipt bundles is not possible in the eTasku mobile app.

How to create a receipt bundle?

1. Select the receipts you want to include

2. Once you’ve selected the receipts, you can add them to a receipt bundle.
If the bundle already exists, find the desired bundle from the Add to bundle list and attach the receipts to it. If you’re creating a completely new bundle, click Create new receipt bundle".

  • NEW RECEIPT BUNDLE: Give the bundle a name, such as Mastercard 1/19, and select the start and end dates for the bundle. If the credit card statement is available in digital format, you can upload it at this stage to be used as the cover page for the bundle in eTasku. Finally, click Save”.

  • STATUS: By default, the status of a new receipt bundle is set to “Draft”, allowing you to continue adding receipts to it.

Note! If you click the “Status” icon to turn it green—changing the bundle status to “Ready”—the bundle will be locked, and no new receipts can be added.
Only mark the bundle as “Ready” once all necessary receipts have been added. This also signals to your accountant that the bundle is ready for processing.

3. Once the receipt bundle has been created, you may also attach receipts from previous months to the same bundle. This is done via the Edit button on the receipt, which activates the "Receipt Bundle" field for selection. (Please note that only bundles with the status “Draft” will appear in the list) After saving the changes, the receipt will be moved to the selected bundle.

4. After the receipt bundle has been created, the attached receipts will appear in the monthly view under the corresponding bundle.
The receipt bundle will be shown in the month corresponding to the bundle’s end date. Under the heading Unattached Receipts, you will see receipts that have not been linked to any bundle.

5. That’s it! The receipts are now bundled and visible to the accountant under the “Receipt Bundles” heading in their monthly view. If needed, you can download the receipt bundle from eTasku in PDF format.

Tip: You can, if you wish, create an incomplete receipt bundle at the beginning of the month and continue attaching receipts to it throughout the month.
When entering receipt details (vendor, amount, VAT, etc.), simply select the desired bundle from the Receipt Bundle field. This way, you won’t need to do the bundling separately at the end of the month. Please note that receipts can only be attached to a bundle via our web portal.

Unbundling a receipt bundle

Did you create a receipt bundle but now want to undo it? No worries — here’s how to unbundle it:

1. Click the name of the receipt bundle, then press “Edit”.

2. Click the “Take the bundle apart” button, then press “Take apart” in the confirmation window.

The receipt bundle has now been unbundled, and the receipts previously included in the bundle are moved to “Unbundled receipts”. In eTasku, receipts are placed in the month corresponding to their purchase date. For example, if the purchase date is November 4, 2024, the receipt will appear in November 2024; if the date is January 1, 2025, it will appear in January 2025, and so on.

Note: Unbundling is only possible for bundles with the status “Draft”.
If the bundle status is “Ready”, you must first change it to Draft via the "Edit" button > save the bundle again > then you’ll be able to unbundle it.
Please note that if the accountant has already approved the bundle, it cannot be unbundled independently. In such cases, please contact your accountant.
