At the moment, only sales reps can book activations or kits for venues. This article is designed to show a sales rep how to fill out the request form, which is sometimes required for higher value activations.

For the higher value events, you might have to submit a booking request to the internal brand team. They can choose whether or not to invest in this opportunity.
If this is the case, you will have to fill out a quick form. You may see a reduced version of the below if it has been requested.
There a few questions worth explaining..
Why should the brand accept your request
When filling out the booking request form, keep in mind that this is essentially your pitch for sponsorship!
In order to sponsor a booking, the brand needs to know what’s in it for them and all about your venue or the event that they will be represented at.
Try to talk about:
Why this venue is a good fit for the brand
What you can offer the brand in terms of sales and visibility - on the night is good, but long term will be much more appealing!
How many people you expect to turn up
What occasion the event is for (venue events e.g. Gin tasting, cultural events e.g. Halloween, etc)
All about the event and what you will be doing
How many people will be there
Again, the expected footfall and exposure will influence the investment from the brand approver.
Whether the venue stocks the brand & their volumes
They will be interested to know whether this is a new distribution point or high volume account.
How much stock the venue is ordering for the event
As with any business, brands need to get a positive ROI in order to keep investing. So this section is crucial for brands to justify their spend.
The stock required was been requested by the brand and you can edit the quantities here to reflect the true amount of what the venue will be ordering. (But note, we will check that they have this stock when the assets arrive so please don't make it up.)
Facilities and requirements
You might be asked if the venue has specific facilities or there might be specific requests that the brand have put in place.
This is helpful to the delivery and staffing agencies who will be facilitating the event - to make sure they can adapt the experience if necessary.
Select the tile to show that the venue does have this facility or will meet this requirement.
Special requests
The special request box is featured on the final page of checkout and can be used to highlight any delivery requirements or instructions to the delivery agency before your event takes place. This is an important part of the booking and is the space to go into detail about any alternate delivery options, special features or contact information such as where to park or access to your venue.
Future Comms
After you select Complete Request the request form will be sent to the brand for their approval. You may need to wait between 1-3 working days for your booking to be accepted by the brand and delivery agency.
Both you and your venue will receive confirmation by email.
