Getting the right data from the booking request email

In this article, you will learn how to read the booking request email so that you can plan accurately for orders and events.

Dates and Timings

It's important to understand that campaigns are set up differently with the right settings for each campaign - as a general rule, the main difference is caused by it being either an event or just a task (ie. delivery only).

You should know what type of campaign you are involved in from set-up but we have separated out the likely differences below to be helpful.

Events

In this top section, as it's an event, the date and timings are the chosen event slot.

Delivery orders

In this top section, as it's a delivery, the date(s) and timings are the preferred delivery window (ie. an indication of opening hours):

Note: The end date is not a collection date (If you are assigned the collection task, you can see this under 'What you need to do').

  • You can also see the address, and the PO from the brand here for both types of booking.

  • If footfall has been completed, it shows with the number given. If it's a 0-2000 range, it hasn't been completed.

If the booking is an edited/rescheduled booking, the original dates and/or times will be struck through, with the updated dates and/ or times shown next to it.

What you need to do

Here you can see what tasks have been assigned to you to complete.

It it's an event, the dates here (particularly for live time) are really important so make sure you are aligned.

For delivery, it's less important to be exact as the venue is warned they are just guidelines given.

Useful facilities or logistics info

If we have asked them to confirm whether that have certain facilities or logistics, they will have a cross or tick in this section. Ie. This venue below does not have a lift (ie. large asset issue), or parking on location, and no digital screens.

This info helps you plan accordingly, or choose to decline the bookings.

You are only likely to get this info for events - unless it's a particularly large or complicated asset you are delivering.

Key contacts

You can also see any key contacts in the booking such as the venue, salesperson and other agencies, in case you want to align offline.
