This guide will walk you through tools and reports to monitor your stores’ progress and ensure they’re on track for success.

Key Features of the Company Inventory Dashboard

  1. Sales Polling Status:

    • Confirms if Expressway is receiving daily product mix data from each store’s point of sale (POS).

    • If a store shows a Red X and was open that day, it may indicate incomplete reporting. Stores should submit an online support request for assistance.

  2. Inventory Status Overview:

    • Displays a percentage summary for your district or company, as well as for each individual store.

    • Shows the status of the last eight inventory cycles. Icons indicate different statuses:

      • Green Check Mark: Inventory cycle is completed and closed.

      • Yellow Check Mark with Cost Percentages: Flash reporting is posted, but the cycle remains open for adjustments.

      • Yellow Check Mark Without Percentages: All steps are completed, including troubleshooting, but flash reporting isn’t posted yet.

      • Orange Caution Flag: Ending count is completed, but troubleshooting is pending.

      • Red X: Missing approvals for invoices or an ending count. Reporting isn’t available.

  3. Excess Ending Trends:

    • Shows the on-hand dollar values, excess stock levels, and days on hand for each store and at the district or company level.

    • Use this to identify stores that may be overstocked.


Detailed Reporting Options

  1. Company-Level Reports:

    • Roll up all stores into a consolidated report for a district or company.

    • Select the inventory cycle and date, then choose from:

      • Inventory Reports: Includes the Cost of Sales and Transfer Reconciliation Reports.

      • Menu Costing Reports: Includes Ideal Cost of Sales and Food Item Key Targets Reports.

    • You can filter reports, save settings, and select specific stores to include.

    • Create Report: Generates reports in PDF or other formats for download.

  2. Store-Level Reports:

    • Provides detailed data for individual stores.

    • Follow similar steps as the company-level reports, but focused on individual store data.

    • Recommended Reports:

      • Cost of Sales Reports: Current cycle, month-to-date, and category cost history.

      • Troubleshooting Report: Displays purchase size data, crucial for supervisors to review.

      • Menu Costing Reports: Includes the summary report and key item targets report.

  3. Common Reports for Cost Control:

    • Cost of Sales Current Cycle: Shows beginning inventory, purchases, ending inventory, dollar cost, sales, and cost percentages.

    • Category Cost History: Compares cost percentages across cycles, highlighting trends and potential count issues.

    • Summary Report: Compares actual vs. ideal costs, with efficiency ratings and variances.

    • Key Items Target Report: Focuses on items with the highest variance, guiding daily variance counts to address high-impact items.


Exporting Data for Analysis

  • Manage Company > Exports:

    • Choose between company, region/district, or store-level exports.

    • Customize views to include food and paper together or separately.

    • Export to Excel for further analysis, including data on sales, purchases, cost percentages, variances, and efficiency.


Accessing Store Data in Real-Time

  • You can view and manage any store’s data in real-time during the cycle.

    • Select Store: Choose the desired store to input invoices, conduct counts, or review variances.

    • Flash Reporting: Allows stores to post data for review before closing their cycle. Supervisors can also post flash reporting if needed.

    • View Past Reporting: Access previous cycles’ data for comparison.


Final Notes

  • Post Flash Reporting is crucial for reviewing store data before the cycle closes. It allows for last-minute adjustments before the next cycle begins.

  • If adjustments are needed after a cycle is closed, stores must request support.
