Managing Employee Requests

Overview

EZTime allows employees to submit requests directly from the app or desktop — including vacation days, sick leave, shift changes, adding workdays, and more.

Requests are sent online to the relevant manager, and once approved, the data is automatically updated in the employee's reports.

How to Manage Employee Requests

Step 1 — Access the Requests Screen

In the side menu, click "Employee Requests."


Step 2 — Filter and Search Requests

At the top of the screen, you can filter requests by:

  • Date range of submission

  • Date range of the relevant reporting period

  • Request type (vacation, sick leave, shift change, adding a workday, etc.)

  • Department or role

  • A specific employee

Without any filters applied, the screen will display all requests across the organization, including both pending and previously resolved requests.

Tip: You can also search for a specific employee by name or ID number using the search bar.


Step 3 — Review Request Details

Each row in the table represents a single request and displays the following information:

  • Employee name and ID number

  • Department / Branch

  • Request type

  • New report / Period — the dates and hours the employee is requesting to update

  • Previous report — the data on record before the request, for comparison

  • Attached file — if the employee included a document with their request

  • Description — a free-text note written by the employee

  • Submission date

  • Request status


Step 4 — Take Action on a Request

On the rigtht side of each row, you can take the following actions:

  • Approve — approves the request and automatically updates the employee's report. The previous record is saved in the action history.

  • Decline — declines the request. The employee will be notified accordingly.

  • Go to Report — navigates to the employee's monthly report.

  • Delete — permanently deletes the request.


Step 5 — Bulk Actions

To approve or decline multiple requests at once, check the boxes on the right side of the relevant requests and click the "Actions" button at the top of the screen.


Request Notifications

You can also view all pending requests from any screen in the system by clicking the requests icon at the top of the screen.


Export and Print

  • Print — prints all requests currently displayed on the screen.

  • Export to Excel — exports the data to an Excel file (indicated by the green icon).


Advanced Settings

To access additional configuration options, click "Advanced Settings" at the top of the requests screen.

Available settings:

  1. Auto-approve requests (not recommended) — all submitted requests will be approved automatically, without requiring manager review.

  2. Send employee an email after a decision — the employee will receive an email notification when their request is approved or declined.

  3. Email notifications for new requests — the manager will receive an email notification when a new request is submitted.

  4. Set a submission deadline — after the specified date, the system will block any new requests from being submitted.
