Staff Ratios
Setting up staff ratios is crucial to ensure all your classrooms are correctly staffed. With Famly, you have the flexibility to adjust ratios per classroom or age group with ease. Additionally, you can schedule future changes hassle-free. This article will walk you through to do just that.
Room Ratios
You can easily input child-to-staff ratios directly into your classroom settings, ensuring that the appropriate number of staff members is always present. To do so:
Click on Settings in your sidebar
Click on Rooms then Overview
From here, add a new room or click on the cog icon next to your existing classrooms to enter ratio details
In your classroom settings, look for the Staff Ratio section
Enter your child-to-staff ratio here
If you have mixed-age group classrooms, do not enter the ratio of those rooms in the room settings- just leave them blank
Age Group Ratios
If your classrooms are made up of children with mixed age groups, you can set up Age group ratios instead. To set up ratios where children are of different ages:
Go to your Settings
Select Children
Next, click on Age groups
Enter your staff ratio for each age group by clicking on the pen icon to edit
Remember to save your changes when you're ready!
Scheduling Ratio Changes
In Famly you can schedule a group ratio change in advance. To do so:
Click on Settings in your sidebar
Select Children then Age groups
Navigate to Scheduled changes
Click on View scheduled changes
Select Create new plan
Enter the change in ratio, age-range and capacity, and the date you want it to be valid from
Click Save and the plan will update on the selected date
Calculating Required Staff
Famly will calculate the staff you need for each room based on the required ratios you've entered:
If the staff ratio is set in the Classroom settings, Famly will use that staff ratio for the required staff calculation
If you have set a staff ratio on your Age groups, Famly will use that staff ratio for the required staff calculation (just make sure you enter a 0 in the Staff ratio section in your room settings, as room ratios override age group ratios)
