The new plan builder helps you easily create and customize billing plans for one or more children, with options to add tuition, fees, discounts, and more. You can also assign billing frequency or adjust the billing period, giving you flexibility to manage everything in one place.

Choose Who You Are Billing
Select Children
The new plan builder lets you create a billing plan for one or multiple children. Pick the children you want to create a new billing plan for. You can do this from the dropdown or by selecting the checkboxes next to each child's name in the Finance Overview.
A payer must be assigned to each child before you can add a plan. You can add missing payers directly from the Finance Overview.
Choose What You Are Billing for
Add a Tuition
In the dropdown, youâll see the different tuitions (packages) youâve set up, which can be priced weekly or monthly. If you need to create a new tuition, simply click + Add new
. This will open a modal where you can set up all the details for your new tuition.
In the modal, youâll also see an option to choose whether to save the tuition to your library. If you uncheck the box, the tuition will be treated as a one-off. This means it wonât be saved to the library and wonât be available to add to other children in the future.
You can also select more than one tuition if thatâs what you need. In case of multiple tuitions, you can't combine a monthly priced tuition with a weekly priced one.
đĄ Tip: If the total in the invoice summary doesnât look right, you can adjust it. Just click the three dots next to the tuition input field and override the price to match your needs.
Add Additional Fees
Need to include extra charges like registration or materials fees? You can add them here. Just make sure these fees are already created in your settings. Similarly to the tuition, the fees you are adding need to match the same pricing structure (monthly priced tuition with a monthly monthly fee and vice versa). You also have the possibility to create new fees by clicking on + Add new
.
Pricing Groups
If your site uses multiple pricing groups and hasn't set up automatic move rules, this dropdown will appear above the tuition dropdown. If you have one or no pricing groups at all, this choice will not appear.
You use automatic move rules: We will default the plan to Automatic, meaning it will price the children based on their age. You can choose to override this setting under More options, where the pricing group dropdown is available for this cases.
You don't use automatic move rules: You will need to choose which pricing group to allocate to the children on this plan.
đ What is a pricing group and automatic move rules? You can set prices for tuitions, sessions and fees based on a child's age. By creating pricing groups and setting up rules for automatic changes, the app can make sure that you always charge the right price as the child gets older.

Choose How You Want to Bill
Choose a Billing Frequency
The billing frequency determines how frequently an invoice is sent to specific bill payers. Once you save a plan, the billing frequency is updated for the selected children's payers. If you choose a billing frequency, and you have yet to enable it in your Settings, you will be asked to specify when exactly you want to send the invoice, and when it is due.
đĄ Tip: If youâve enabled automatic billing in your settings and itâs the childâs first saved plan, automatic billing will automatically activate for that bill payer.

Define your First Billing Period
This field allows you to define the first period (month/week) that parents shall be billed for via Famly. The dropdown lets you choose the previous, current, or the next four weeks/months. It will default to the first day of the month or week (depending on whether your tuition is monthly or weekly priced) as the plan start date. For other start dates, you can choose a specific date from the Custom period option.
Custom period: Here you can choose whatever start date you prefer. The end date will automatically match the last day of that billing cycle (last day of month or week). The Line of first invoice
fields are pre-filled with the tuition name and price. You can update the price to match your expected amount.
đĄGood to know when using custom billing periods: When you choose a custom billing period, the price for the first invoice will be processed as a separate ad hoc purchase, ensuring the parent is charged the exact amount youâve specified. Additionally, a $0 plan is created for the first period to document that the child is expected during those days.
What's in the More options
Section?
This section gives you optional ways to further customize your plan if needed. None of these choices are needed to create a plan, but can add value and automation.
Apply Discounts
Want to give a permanent discount on the plan? This is the place to do it. The discount will deduct the chosen percentage or amount off the invoice total.
You can also create new discounts directly from the dropdown. Just click +Add New
to set up one-off discounts or pre-set options for future use.
Set an End Date
The End date field allows you to plan the whole billing term in one go. You simply decide how long you want the billing plan to last. When you choose an End date, the plan will automatically end, and no further invoices will be sent to payers.
Custom period: If you don't choose the last date of a billing period as the end date (the last day of the month or week depending on the chosen frequency), you will be asked to confirm the prorated price for that period. Read more about this above under Define your first billing period.
Invoice Summary
The Invoice Summary gives you a quick look at how the billing plan will translate into an invoice. The invoice summary will not be visible if for example your billing frequency (like weekly) doesnât match your tuition type (like monthly).
đĄ Tip: Want to give it a try but donât have a child without a plan? You can use your existing test child or create a new one. Once youâre done, simply delete the test child.
Plan templates
Plan templates are here to make creating billing plans quicker and easier. By saving a predefined set of settings, templates help reduce the time spent on manual inputs and ensure consistency across your plans.
To save a billing plan as a template, check the checkbox labeled "Add as new template" in the bottom-right corner before clicking save. Next time you add a plan, you can pick from your saved templates, saving you the time and effort of recreating it from scratch.
