How to Setup Access Group?

Setting up an Access Group in FastVisa involves several steps to customize authorization and permissions for specific team members within your organization. Access Groups allow you to control who can access what sections, cases, and clients, as well as what actions they can perform.

Setup Access Groups

  1. Access the Access Menu

    Log in to your FastVisa account with appropriate admin credentials and navigate to the "Access" menu.

  2. Access Groups Tab

    Click on the "Groups" tab within the Access menu. This is where you'll manage and configure your Access Groups.

  3. Create a New Access Group

    Click the "+ New Access Group" button to initiate the setup process for a new Access Group.

  4. Group Name and Members

    Provide a name for the new Access Group. Select the organization for which you want this Access Group to apply. Then, choose the team members from within that organization who should be assigned to this Access Group. Make sure the selected members have access to the chosen organization.

  5. Create the Group

    Click the "Create" button to finalize the creation of the new Access Group.

  6. Access Group Settings

    Once the Access Group is created, you can click on the group's name to access its settings.

  7. Toggle Access

    In the settings, you can toggle specific access permissions on or off by switching the toggle buttons. Alternatively, you can click the "Activate" button to activate the Access Group with the predefined settings.

  8. Editing Access Group

    You can still make changes to the Access Group by clicking the edit icon. Update the necessary settings or members as needed. Once satisfied, click the "Update" button to save your changes.

Additional Setup for Cases and Clients

For Cases:

  • You can choose to show all cases or filter cases based on procedures. Select procedures you want to associate with this Access Group. Only cases with the selected procedures will be shown.

  • You can also filter cases based on contributors. Choose "Self" or "All Members" in this group. This determines which cases are visible to the members.

  • You can limit access to specific report templates for exporting data.

For Clients:

  • You can choose to show all clients or filter clients based on case involvements. Decide if clients should be visible based on case contributors or cases where the group members are involved.

  • You can set up the data that you want to show to group members.

  • Similar to cases, you can control access to specific report templates for data export.

By setting up Access Groups and customizing their settings, you can create a tailored and controlled environment for your team members, ensuring that they have the appropriate access and permissions needed to effectively perform their roles within the FastVisa system.
