Viewing Your Booking Calendar and Bookings

FOR EXPERIENCE MAKERS: How to browse your calendar, check who's booked, and start a conversation with travelers.

Your Booking Calendar is where you set availability and delete unavailable dates — and also where you see what's coming up: who's booked, how many spots are filled, and what your week or month looks like at a glance.

There are two ways to view your calendar, depending on what you're trying to see.


Quick View: Browse One Experience by Month

Use this when you want a fast, visual overview of a single Experience.

  1. Go to My Profile and scroll down to your Experiences. Click the Experience you want to view to open its Experience Page.

  2. Click on the Calendar tab.

  3. You'll land on the calendar for that Experience, showing one month at a time. Use the arrows to move between months.

The month view uses two visual markers:

  • A yellow dot on a date means the Experience is scheduled for that day - and when you click that date, you will see the details of the experience, i.e. Start and End Time.

  • A blue circle on a date means there's a booking for that day - and when you click that date, you will see the name of the traveler who has booked it.

So a date with just a yellow dot has availability but no bookings yet. A date with a blue circle has at least one booking on it.


List View: Multiple Experiences Over a Date Range

Use this when you want to see bookings across several Experiences, or over a range of dates.

  1. Click on your profile pic in the top right corner to open the main menu, then choose Booking Calendar.

  2. Under My Experiences, select (check) the Experiences you want to view. You can select one, several, or all of them.

  3. Under View Calendar, use the filters to narrow your view:

    • Select dates — pick a start and end date, up to a maximum of 180 days.

    • Start time — leave on Any time to see all entries.

  4. Click My Schedule to see all your availability entries in the date range, or My Bookings to see only entries that have bookings.

The line entry in the list on the right shows:

  • The date.

  • The Experience name and time slot (e.g. Sep 05 (9:00 AM) – Sep 05 (12:00 PM)).

  • An icon indicating Private (single-person) or Shared (two-person) Experience.

  • A number showing current bookings/sessions vs. capacity, in the format bookings (capacity).

So an entry showing 2 (4) for a Shared Experience means 2 travelers have booked out of a possible 4. A 0 (1) for a Private Experience means the time slot is open — no bookings yet, with 1 possible private group.

Each entry also has a three-dot menu on the right, letting you Edit entry, Delete entry, Edit time slot, or Delete time slot directly from this view. For the details of each of these actions, see Managing a Single Entry and Managing a Time Slot.


Seeing Who Booked and Reaching Out

Once you can see that an entry has a booking, you can click through to see who booked and start a conversation.

  1. Click on a specific Experience entry in the calendar. The traveler's name will appear.

  2. Use the Chat button next to the traveler's name to start a conversation with them directly — good for confirming details, sharing meeting point information, or answering questions.

  3. Click on the traveler's name to view their profile, if they've filled it in.

Reaching out proactively — with a short welcome message — is the best way to set the tone for a great Experience.


Tip: Make it a habit to check your Booking Calendar every 2–3 days. This helps you catch new bookings early, spot any scheduling conflicts (especially if you also take bookings outside Fernwayer), and reach out to travelers well before their Experience date.
