Your Experience listing is where a Traveler sees what you offer. It's bookable, discoverable, and ready to welcome its first guest.
Experiences on Fernwayer are shaped collaboratively — the first pass is the beginning of a conversation, not the final version. Your Fernwayer contact will typically work with you to shape your first Experience, and you'll co-create every listing thereafter with editorial support before it goes live.
This article walks you through the fields of the Experience description form so you know what to prepare and what each field is for.
A note about writing
Your job is to share the specific stories, credentials, cultural context, and details that only you know — the raw material of what makes your Experience yours. Our editorial team works with every Experience Maker to shape the final wording, rhythm, and framing before the Experience goes live.
Focus on the what and the why; we'll work through the how together.
Before you start
We recommend having a conversation with us first, especially if you're joining Fernwayer for the first time or proposing a new Experience concept. That way you don't spend time writing up an Experience that isn't a fit. See How Joining Fernwayer Works.
Two ways to build your listing
Depending on your situation, an Experience listing can come together in one of two ways:
Collaborative drafting. If you prefer, your Fernwayer contact may work with you offline first — you send us bullet points and key details by email, and we create a draft listing and assign it to your account. You then complete it, add photos and pricing, and submit.
You build it yourself. Log in to Fernwayer, go to the Main Menu, click Sell an Experience, and walk through the Steps below.
Either way, editorial review and refinement happen before your Experience goes live.
If you build it yourself
Choose the right format for your Experience.
Create Experience — for Experiences up to 4–5 hours, or longer Experiences that involve one continuous or homogenous activity (e.g., a full-day vineyard tour visiting three vineyards).
Create Multi-Experience — for Experiences over 4–5 hours with multiple distinct activities. This lets you divide the Experience into 3–5 segments, each with its own description, photos, and details. This is also a good format for longer full-day Experiences where the Traveler will benefit from seeing the shape of the day laid out clearly.
How the form works
There are 4 Steps for Create Experience and 5 Steps for Create Multi-Experience. Each Step is on its own page — click Continue to move to the next, and Submit for Approval on the last one. You can also click Save as Draft at any time (on the left-hand side, below the Steps) and come back later. Each Step displays a check mark when all its fields are complete; you can only Submit once every Step is checked.
Step 1: Introduce the Experience
Title. (30-character limit.) Titles on Fernwayer are typically evocative rather than descriptive. Don't worry about getting this perfect on the first pass; we'll work on it together.
Preview Description. (100-character limit.) Name the type of Experience, the place, and any key stops or moments.
What is this? (Up to 1,000 characters.) Describe the Experience in your own words, focusing on: the idea at the heart of it — what the day is really about, beyond the activities; the specific places, moments, or objects that a Traveler will encounter; and enough cultural, historical, or personal context to make a Traveler understand what the Experience is.
What makes this unique? (Up to 1,000 characters.) This is a chance to explain, honestly, what a Traveler will get from this specific Experience that they wouldn't get anywhere else. Focus on your access — the doors, moments, or knowledge you bring that isn't available to a self-guided visitor; your point of view; your relationship to the material — how your background, training, or lineage connects to this Experience.
Uniqueness Factor. Select the most accurate choice. This is for internal use only and not visible on the page.
Category. Choose up to two. One is fine.
Duration. The time needed to complete the itinerary. If hotel pickup and drop-off is included, then include it in the duration. The duration can be to the closest 30 minutes.
Step 2: Specify Experience Location
Location. The town or city. For Experiences that span multiple stops, choose the most relevant one where the most time is spent.
Where will we meet? Two ways to handle this:
Option 1: Share the address later. Choose this if the meeting point varies by booking, if the location depends on hotel pickup, or if you'd prefer to share the specific address with the Traveler through Chat after booking.
Option 2: Pin a specific location. Click "Do you want to add a meeting point location?" and select the exact address from Google Maps. Be as specific as possible — the corner, the café, the plaza, the building. Travelers will use this to plan their day.
Step 3: Provide Experience Details
Languages. Choose up to 5.
Experience type. Private, Shared, or Shared with Private Option. More than 90% of Fernwayer Experiences are Private — and that is our recommendation. Speak to a Fernwayer team member before choosing Shared with Private Option; this may make sense for a photography experience, a craft, or an annual festival experience. Shared is rarely used on Fernwayer, and will only be approved on an exceptional basis.
Price per person. All Fernwayer Experiences are priced per person, and are wallet-free on the day — the list price shown on the page is what the Traveler pays upfront, and it covers everything they'll need during the Experience. It also allows all transactional money matters to be handled before the Traveler meets you, in essence making them guests to be received.
Minimum group size. Sets your minimum guaranteed income per booking. To set a minimum above 1, first increase/set up the maximum group size.
Maximum group size. Start with this before setting up minimum group size. The maximum allowable is 8 people. However, we recommend keeping this much smaller — most Fernwayer bookings are 2–4 travelers, and smaller groups better preserve the intimacy and personal attention of a Fernwayer Private Experience. If a larger group wants to book the Experience, they will contact us and we will reach out to you to determine how to manage this on a case-by-case basis.
Booking cutoff time (in hours). How far in advance Travelers must book (e.g., 240 hours = 10 days). Note that after this point the date will not show up as available in the Booking Calendar. This does not affect the cancellation policy. You can also adjust this seasonally — a longer cutoff in high season, a shorter one in low season if you can accommodate shorter notice.
Who is the host? (Up to 1,000 characters.) A short paragraph connecting you to this Experience — the training, the years, the credentials, the family history, the projects, and the work that make you the right person to lead this walk, meal, or workshop. This is separate from your general Experience Maker profile bio; focus on what's directly relevant to this Experience. In most cases, the Experience Maker is the host — but there may be situations where the Experience Maker works with a small team of hosts. If it's the same person, provide name or qualifications. If it's a variable person, share common characteristics that Travelers can expect.
What is included? (Up to 500 characters.) List everything clearly — host time, food and drinks, entry fees and tickets, transport where relevant, and additional inclusions that are part of the price.
What to bring? (Up to 400 characters.) Note anything Travelers should bring or be aware of — comfortable shoes, sun protection, a light jacket, an appetite. For Experiences with weather constraints (like a boat tour), note that safety comes first — you'll reach out to the Traveler as early as possible if conditions require rescheduling or cancellation.
Step 4: Add Photos
Up to four photos and one optional short video. It's worth taking the time to get them right.
Number. Up to 4 photos. You should have the right to use every image you upload.
Resolution. 1080p is the standard. Sharpness matters most — many Travelers view Fernwayer on mobile and zoom in to look closely. The crisper your original, the better it holds up after compression.
Orientation. Horizontal (landscape) works best across the board. Fernwayer displays your Experience across desktop, tablet (both orientations), the iOS app, and mobile browsers — each of which crops your image differently. Horizontal photos give the system the most flexibility.
Framing. When you upload a photo, the system will prompt you to frame it within the different crops it needs — horizontal, vertical, and square. Adjust the framing for each format at that point, rather than preparing separate crops in advance. Take your time with each one.
File format. JPEG. Ideally under 1MB. Larger files will be compressed automatically to keep the site fast, so there's no strict cutoff — but staying close to 1MB helps things load quickly.
Color profile. sRGB — this ensures the most accurate, consistent colors across browsers.
Video. Optional, but nice to have. Keep clips to 20–30 seconds maximum. Upload via Google Chrome for best results. Phone-quality video is usually not sharp enough for Fernwayer's display — a proper camera makes a real difference. Vertically shot videos are not accepted.
What to shoot. Photos that show the Experience through your eyes — the doors you open, the moments you create, the details Travelers wouldn't otherwise notice. Portraits, action shots, close-ups of what's in your hands, and wide shots that set the scene. For any close-up of a person, make sure you have their permission. This applies especially to Travelers you've hosted.
Step 5 (Multi-Experience only): Manage Experiences
For Multi-Experience listings, divide the itinerary into stages (ideally, 3-5 that together make up the full Experience.
Before you start, sketch the stages on paper — write down the start and end times of each so they fit together within the total duration of the Experience. This saves editing time later.
Then, in the form, click Add Experience for each stage. Each stage requires:
Title
Preview Description
What is this?
What makes this unique?
Start and end times — these must be distinct from one stage to the next, and together they should map out the full day
Location — the specific address, entered through the Google Maps–integrated location field
Photos — up to 4, plus an optional video (just one photo is sufficient)
Important: You can't save a Multi-Experience listing as a draft until every field in every stage is complete. Make sure you have time to finish all stages in one sitting, or that your notes are ready before you begin.
This example shows you how it looks when completed.
After you submit
Once you've completed the description form, click Submit for Approval.
Submission is the beginning of the editorial phase — we work with you to refine the wording, structure, and framing before your Experience goes live. This may take just a few days, or it could take a couple of weeks. Stay connected with your Fernwayer contact throughout.
Once we've co-created something we're both happy with, you'll receive a confirmation email. At that point, your Experience will be published on Fernwayer and you can set up your Booking Calendar.
If you are a first-time Experience Maker with Fernwayer, your Experience will be put on hold after approval until you have completed the Stripe connection. While your Experience is on hold, you can still manage your Booking Calendar.
As always, if you have any questions or run into issues, please chat with your contact or Fernwayer Support.
