How Cancellations Work on Fernwayer

FOR EXPERIENCE MAKERS: An overview of the cancellation policy, and how Fernwayer handles the process on your behalf.

Cancellations are a real part of hosting on any platform. Fernwayer's policy is designed to be fair to Travelers, fair to Experience Makers, and honest about what each party takes on.

This article gives the framework; the other articles in this collection cover specific scenarios.

The core policy: Travelers can cancel for a full refund up to a set number of days before the Experience — the free-cancellation period.

For most Experiences it is 7 days.

For one-time events and festival-based Experiences, this threshold is often set earlier — case by case at the time of listing setup, based on the specifics of the event. The Traveler sees the applicable free-cancellation period when selecting their date in the booking calendar.

Cancellations outside the free-cancellation period are non-refundable — the Traveler pays in full, and you receive your full payout.

How Fernwayer handles cancellations

You don't need to manage cancellations directly. When a cancellation happens, Fernwayer:

  • Updates your Booking Calendar — removing the cancelled booking and restoring availability

  • Applies the cancellation policy to determine what happens next, and communicates this to the Traveler and to you

  • Processes any refund due to the Traveler — for cancellations within the free-cancellation period

  • Ensures you receive your full payout — for cancellations outside the free-cancellation period

You'll be notified of any cancellation by email and through the Notification Center.

When cancellations must be processed

Most cancellations happen before the Experience is scheduled to take place, and refunds are processed immediately.

In rare cases where a cancellation needs to be initiated after the Experience was supposed to have happened, Fernwayer needs to be informed within 24 hours of the originally scheduled Experience end time. After that window, the payout to the Experience Maker has already been processed automatically, and a refund is no longer possible.

If you and your Traveler agree to reschedule to a date after the original scheduled date, message Fernwayer Support immediately so the new date is reflected on the booking. This protects the Traveler — because Fernwayer's system processes payouts automatically after the original scheduled date, and if the rescheduled Experience is then cancelled (without changing it to the new date), a refund is no longer possible.

If in doubt, contact Fernwayer Support immediately — even a preliminary message keeps the option open.

When you need to talk to us

Most cancellations happen through the platform without intervention. But you should message Fernwayer Support in Chat when:

  • You need to cancel an Experience yourself — see If You Need to Cancel an Experience

  • Weather or safety concerns might require a cancellation — see When Weather Threatens an Experience

  • A Traveler wants to reschedule their booking or reduce their party size

  • A Traveler no-shows on the day

  • You're not sure how a particular situation should be handled

For the specific scenarios

  • A Traveler cancels or doesn't show — see When a Traveler Cancels or Doesn't Show

  • You need to cancel — see If You Need to Cancel an Experience

  • Weather concerns are developing — see When Weather Threatens an Experience

A note on policy updates

Fernwayer reserves the right to update this cancellation policy at any time. Changes will be communicated by email, and the revised policy applies to all cancellations made after the update date.
