Adding Availability: Creating a Schedule

FOR EXPERIENCE MAKERS: Set recurring availability for an experience across days, weeks, months, or seasons.

A Schedule is the fastest way to add availability for a recurring pattern — daily, specific days of the week, or specific dates.

Step-by-Step

  1. Select the Experience you want to schedule from the My Experiences menu.

  2. Click the three dots next to the Experience name. A menu appears with Create Schedule, Create Entry, and Delete Schedule. Choose Create Schedule.

  3. Pick your date range. Using the calendar in the pop-up:

    • Double-click the starting date.

    • Single-click the end date.

    • Use the arrows next to the month name to move between months. The selected range is highlighted with a dark blue strip. Yellow dots indicate days where availability already exists.

    • Click Continue.

  4. Choose the frequency for your availability:

    • Daily — every day of the week within the range.

    • Some days of the week — specific weekdays that recur throughout the range (e.g. Tuesdays and Thursdays).

    • Specific dates — for Experiences that are Events (one-offs or rare occurrences).

    • With Some days of the week or Specific dates, you can also click to "unclick" individual days you're unavailable. Any date that ends up showing availability will be marked with a yellow dot.

    • Confirm you've selected the right range of dates by checking the Planning Horizon shown at the bottom of the box, which displays the range your Schedule will cover.

    • Click Continue.

  5. Set the start time using a 12-hour clock (e.g. 8:00 AM, 3:00 PM). The default is 10 AM — you'll need to manually adjust this to the correct start time for your Experience. When you click the right-facing arrow, the End time is automatically calculated based on the Experience duration set in your Experience Details. If you want different start and end times for different days of the week (e.g. 8 AM on weekends, 10 AM on weekdays), you'll need to create a separate Schedule for each.

  6. Confirm capacity and Number of Bookings.

    • Capacity carries over from your Experience Details.

    • Number of Bookings is the number of sessions you can run simultaneously for the same time slot. The default is 1. We recommend speaking with Fernwayer Support before increasing the Number of Bookings.

      • Private Experiences: increase this number only if you have multiple hosts and can run more than one private group at the same time.

      • Shared Experiences: this feature does not apply. If you want to run more than one shared group simultaneously, you'll need to create a separate Schedule for each.

    • Allow Overlapping Bookings — leave this unchecked unless your Experience spans more than one day.

    • Click Continue.

  7. Review terms. The payment terms and cancellation policy shown here are the ones travelers will see at booking. You can't edit them on this screen, but it's worth reviewing.

  8. Click Submit. You will get a popup to confirm that this schedule has been set up - and is live and bookable.


Tip: Set up Schedules in 3–4 month blocks so you can adjust naturally for seasonal changes — sunrise/sunset times, weather, host availability, vacation periods.


Repeat the process for…

You'll need to repeat the Create Schedule process for:

  • Each time slot of an Experience (e.g. a 9 AM and a 2 PM start time are two separate Schedules).

  • Each season with different start times (e.g. summer 7 AM, winter 8 AM are two separate Schedules).

  • Each Experience you offer.

Extending a Schedule

Because your Booking Calendar is your inventory on Fernwayer, we recommend keeping availability displayed for a rolling 12–18 months at all times.

That means every few months, you'll likely need to add more dates beyond your current range — for a new season, a new year, or simply to keep your rolling window full and available.

Existing Schedules can't be extended. Instead, you'll create a new Schedule using the steps above.

This is intentional: creating a new Schedule gives you the chance to rethink each new block of time — Experience Maker availability, seasonal start times, weather, daylight, vacation periods — rather than carrying forward assumptions from the previous season.

When you set up the new Schedule, make sure the date range starts after your existing Schedule ends. If the dates overlap, you'll create duplicate availability on those days.
