Settings - Tax Rates

Define your tax rates based on zip code

Written by Beau O'Hara

Summary

Search and add the tax rates for the areas you service. Fieldwork looks up the rate by zip code, lets you name it, and can apply it automatically to new customers. If you are tax-exempt for the services you provide, you don't need to create a tax rate.

Key Points

  • Search for a tax rate by zip code

  • Give the tax rate a name (city or region)

  • Optionally make it the default tax rate for all new customers

  • Group zip codes that share the same tax rate under one name

  • Search, then copy the discovered rate into Fieldwork

  • If your service is taxable, select Service Taxable

How to get to Tax Rates

From the top of the navigation menu, click Settings (gear icon)

Under Company Setup, click Tax Rates

How to Create a Tax Rate

  1. Click the light grey New Tax Rate button in the upper-right corner

2. Search for tax rate by zip code

  • Enter a zip code for a service area

3. Tax rate name — enter a name, such as the city or region.

4. Make this the default tax rate for all new customers? — Check this if you want it applied automatically to every new customer account. You can change it later on the customer's Location page

5. Zip code list — add the zip codes that should auto-select this tax rate when creating new customers. Grouping zips with the same rate under one name keeps your tax reports simple

Note: Make sure to add the comma after each zipcode to ensure it is added correctly

Example: 60601, 60602, 60603, 60604

6. Click the light grey Search button to find the tax rate for that area

  • After clicking search, your page will show something like this:

Note: We cannot guarantee accuracy. Please verify the rate!!!

5. Click Copy — this transfers the discovered tax rate information into the new tax rate for Fieldwork

  • After clicking copy, your page will show something like this:

Tax rate detail

After copying, you can review and adjust the breakdown. Each level has a tax code, a rate, and a Display on documents option:

  • State — state tax code and state sales tax rate

  • County — county tax code and county sales tax rate

  • District — district tax code and rate (plus a second district code and rate if needed)

  • City — city tax code and city sales tax rate

  • Service Taxable — by default, materials are taxed. If the service you provide is also taxable, select this

  • Total sales tax — the combined rate, calculated for you

Save
