Summary
Payment Fees lets Fieldwork add certain fees to invoices for you, so you don't have to calculate or add them by hand. There are three kinds:

Credit Card Fee: a percentage of the invoice, added to card payments
ACH Fee: a percentage of the invoice, added to bank-transfer payments
Late Payment Fee: a flat amount or a percentage, added to overdue invoices
Each fee shows up as its own line item on the invoice
Fees start applying the day you turn them on
Important — check your state laws first. Not every state allows businesses to add a surcharge for credit card payments. Before enabling the Credit Card Fee, check your state's rules to stay compliant.
How to Get to Payment Settings
Click the Settings gear icon in the upper-right corner.
Under Company Setup, click Payment Fees.
Credit Card Fee
When this is turned on, a fee is automatically added any time a customer pays by credit card through the Online System, Customer Portal, or mobile app.
Fill in these fields:
Name — What the fee is called on the invoice. Customers see this, so make it clear. Example: "Credit Card Processing Fee."
Type — Set to percent (a percentage of the invoice total).
Amount — The percentage to charge. For example, enter 3 to add a 3% fee.
Fee is taxable? — Check this box if the fee should be included in the taxable amount of the invoice. If your state taxes surcharges, check it; if not, leave it unchecked. (When in doubt, confirm with your accountant or state guidelines.)
Reminder: Some states don't allow credit card surcharges at all. Confirm yours allows it before turning this on.
ACH Fee
"ACH" is a payment made directly from a customer's bank account (a bank transfer), instead of a credit card. When this is turned on, a fee is automatically added any time a customer pays by ACH through the Online System, Customer Portal, or mobile app.
Fill in these fields:
Name — What the fee is called on the invoice. Example: "Bank Transfer Fee."
Type — Set to percent (a percentage of the invoice total).
Amount — The percentage to charge. For example, enter 1 for a 1% fee.
Fee is taxable? — Check this if the fee should be included in the taxable amount of the invoice.
Tip: ACH fees are usually lower than credit card fees, since bank transfers cost you less to process. Many businesses set a smaller ACH fee to gently encourage customers to pay this way.
Late Payment Fee
When this is turned on, Fieldwork automatically adds a late fee to any invoice that remains unpaid for more than the number of days you set.
Fill in these fields:
Name — What the fee is called on the invoice. Example: "Late Payment Fee."
Type — Choose how the fee is calculated:
Fixed — A flat dollar amount (for example, $25 no matter the invoice size).
Percent — A percentage of the invoice balance (for example, 1.5% of what's owed).
Amount — The dollar amount (if Fixed) or the percentage (if Percent).
Days Overdue — How many days past due an invoice must be before the late fee is added. For example, enter 30 to charge the fee once an invoice is 30 days overdue.
Example: If you set Type to Percent, Amount to 1.5, and Days Overdue to 30, any invoice still unpaid 30 days after its due date automatically incurs a 1.5% late fee.
Note: The late fee starts applying the day you turn this feature on. It won't be retroactively added to invoices that were already overdue before you activated it, unless they continue to meet the days-overdue rule.
Saving Your Settings
Once you've turned on the fees you want and filled in the details, click the green Save button to activate them. From that point forward, Fieldwork adds the fees automatically — no manual work needed.
