How to edit past revisions in articles or Galleries?

This document explains how to use the revision editing feature for Articles and Galleries within Copilot. Revision editing allows you to make changes to specific versions of a story, whether they are live, scheduled, or unpublished.

Understanding Revisions

Every time an article is updated and saved, a new revision is created. And so far, you have always been able to track the changes using the Revision history button in the Publish History window. This remains unchanged.

But what if you want to revert to a previously published/scheduled/unpublished revision of the Article or Gallery?

You can now do that with this new feature in Copilot. Follow the below steps for this.

  1. Navigate to the article or gallery you want to edit.

  2. Click on the three dots before the SEO button on the top right.

3.Click on Publish History to open the publish history window

You will see a list of revisions for that story, including:

  • Date and time of creation

  • Author

  • Status (Published, Scheduled, Unpublished)

The currently live version will be clearly indicated with a check mark and a scheduled revision will be indicated with an hourglass symbol. The version you are viewing is indicated by a blue eye.

Editing a Revision

  1. In the Publish History, locate the revision you wish to edit.

  2. Click on the three dots that are corresponding to the revision to load it into the editor.

3. Make your desired changes to the story’s content and configuration.

4. Your new draft will be ready to Save and Publish after you have made the changes.

Important: Editing a past revision will not change that past revision. Instead, it will create a new draft revision with your changes.

  1. Only after you make any changes and click Save will you see a Publish button. So if you want to simply publish a previous version, make a small dummy change, Save and you will see the publish button. And you can undo the change before you publish.

  2. And when you hit Publish, you will publish the new draft revision, making it the live version of the story. The previous live revision will be archived in the revision history. (This will not override/erase previous revision)

  3. And when you Schedule, this will schedule the new draft revision for publication at a specified date and time.

  4. Always Save your changes before you move to different revisions to edit

FAQ

  • What happens if I edit a live revision? You won't directly change the live version. You will create a new draft revision based on the live version. You can then review and publish this new revision.

  • Can I revert to a previous revision? Yes, you can view the Publish History and choose the revision you wish to edit. Click Edit from the three dot menu on the Version you wish to restore and make any changes you wish to and hit Save and Publish.

  • How do I know which revision is currently live? The live revision is clearly marked in the Publish History with a check mark.

  • How do I know which revision I am currently viewing? The revision you are currently viewing is indicated by a blue eye next to the event. If there is no blue eye next to any event, you are looking at a version that was never live/scheduled.
