Deactivating an Employee in RoutingBox

Deactivating an employee in RoutingBox removes them from the active employees list. Their historical records and trip data are preserved. If the employee is a driver, deactivating them will also prevent them from logging into the Driver App

Deactivating an employee is separate from deactivating a user account. If the employee also has a RoutingBox user account, that account must be deactivated separately. See the reminder at the end of this article.

Before You Begin

Before deactivating an employee, complete the following steps to avoid scheduling gaps or data issues:

  1. Reassign any open or future trips currently assigned to this employee.

  2. Remove the employee from any active schedules or routes.

IMPORTANT: Skipping these steps may leave trips unassigned or cause scheduling errors. Always verify there are no upcoming trips or route assignments before proceeding.

How to Deactivate an Employee

  1. Navigate to Operations in the main menu.

  2. Select the Employees tab.

  3. Locate the employee you wish to deactivate using the search or employee list.

  4. Open the employee’s record.

  5. Click the Active button in the top right corner of the employee record.

  6. Change the status from Active to Inactive.

  7. Save your changes.

The Active/Inactive toggle is located in the top right of the employee record — look for a clearly labeled status button. The employee’s record will remain accessible for historical reference after deactivation.

What Happens After Deactivation

Once an employee is deactivated:

  • Their status is updated to Inactive throughout RoutingBox.

  • They will no longer appear in scheduling and dispatch workflows.

  • If they are a driver, they will no longer be able to log into the Driver App.

  • All historical records, trips, and data associated with the employee are retained.

Deactivating an employee does not automatically deactivate their RoutingBox user account. These are managed separately.

IMPORTANT: If the employee has a RoutingBox user account, you must deactivate it separately to remove their system access. Refer to the Deactivating a User article for step-by-step instructions.

Reactivating an Employee

An inactive employee can be reactivated at any time. This is useful for seasonal staff, rehires, or employees returning from extended leave.

  1. Navigate to Operations > Employees.

  2. Locate the inactive employee. You may need to filter or search for inactive records.

  3. Open the employee’s record.

  4. Click the Inactive status button in the top right of the employee record.

  5. Change the status back to Active.

  6. Save your changes.

Reactivating an employee restores their availability for scheduling and dispatch. If they are a driver, they will regain the ability to log into the Driver App. Remember to also reactivate their user account if applicable.
