If you already have your own filters, folders, or labels set up in Gmail or Outlook, Fyxer AI is designed to work alongside them - not against them. Here’s how we handle existing rules, and how to stay in control.
In Gmail
Fyxer applies its own smart labels (e.g. “1: To Respond”, “2: Awaiting Reply”, “FYI”) to help organize your inbox.
When you first connect Gmail, Fyxer will scan up to 300 recent emails and apply labels - even to emails you’ve already labeled or filed.
Your Gmail filters and rules won’t be overwritten. If an email has already been moved by a rule, Fyxer skips it.
You decide which Fyxer categories appear in your inbox. Adjust this in your Dashboard > Preferences > Email Categorization.
In Outlook
Fyxer only processes emails in your Inbox and Sent Items.
If Outlook rules move emails to other folders first, Fyxer won’t touch them.
Folder moves done manually or via Outlook rules are respected.
Your existing filing system stays as-is - Fyxer works around it.
Controlling What Fyxer Labels or Moves
To customize how emails are labelled and sorted:
Go to your Fyxer AI Dashboard
Click Settings > Preferences
Under Email Categorization, check or uncheck the categories you want to see in your main inbox
Emails from checked categories will skip your inbox and go straight to their folder (Outlook) or appear only with a label (Gmail)
Click Update Preferences to save
Changes only apply to new emails - previously sorted emails remain as they are.
Refining What Fyxer Should Ignore
If you don’t want Fyxer to label or move certain emails:
Go to Preferences > Email Rules
Create a rule based on sender, subject line, or domain
Choose “No Label” as the action
You can also set whole categories (like newsletters or finance) to skip categorization
Fyxer applies one label per email thread - keeping things clean and clear.
If an Email’s in the Wrong Place
Move it manually and Fyxer will learn from your correction.
The more you adjust, the better Fyxer understands how you work.
Troubleshooting Sorting Issues
If emails aren’t being sorted as expected:
Check which categories are set to “Move to folder/label?”
Make sure your email account is properly connected under Integrations
Review existing Gmail or Outlook rules - they may override Fyxer
Try manually moving a few emails to retrain Fyxer’s model
