This guide walks through how to set date ranges and configure filters when running reports in Gaia. The steps below apply to reports across the Operations, Production records, Orders, and Point of sale categories, including Forecast Vs. Served, Consolidated Forecasts, Reimbursable Claims, and others.

Step 1: Go to Reports
In the left navigation, click Reports.
Step 2: Select a report
The left panel shows report categories. Click the report you want to run. For example, click Forecast Vs. Served under the Production records section. A description of what the report retrieves appears at the top of the configuration panel.
Step 3: Set the start date
Click the date range field at the top of the panel. A two-month calendar opens. Click a date to set it as your start date. It will appear highlighted in teal and populate the date range field in MM/DD/YYYY format.
Step 4: Set the end date
After selecting the start date, click your end date on the calendar. The calendar advances to show your start month and the following month. The end date fills into the second half of the date range field.
Step 5: Configure additional filters
Once the date range is set, the remaining filter fields appear. Depending on the report, you may see:
Meals: filter by meal type (e.g., Breakfast, Lunch)
Production Record Status: filter to specific record states (for example, Confirmed and Submitted) when relevant
Search schools: narrow the report to specific school sites
Click into any field to apply filters.
Step 6: Consolidated Forecasts only
If you are running the Consolidated Forecasts report, two additional fields appear after you set the date range:
Search menu plans: select the menu plan(s) the report should pull from
Output Format: choose Vertical or another layout option
Step 7: Run the report
Once all filters are configured, click the Run report button in the bottom-right corner. Gaia generates and downloads the report based on your selections.
Tip: The date range picker always opens to the current month. Use the arrow controls at the top of the calendar to navigate to earlier or later months when pulling historical data.
