Gatekeeper Site Supervisor

Introduction to Site Supervisor

Gatekeeper’s site supervisor module provides additional functionality to manage the businesses and permissions within a Gatekeeper organisation. It is designed for the manager that may need to change business ownership between Gatekeeper sites (for example when an agronomist hands over a client to a colleague), understand the synchronisation history of the sites in the organisation (for example to ensure central reports are up to date), and even to control deleting permissions.

Site supervisor is an additional module that can be activated for a single site within a Gatekeeper organisation. This module removes the ability for the users within the organisation to subscribe main businesses and delete main businesses.

Site supervisor is located as an option under the business module on the right hand side of the window next to the business and year selector.

The following features are visible or able to be carried out within the site supervisor module:

• List of all sites within the organisation showing the date, time and duration of all of synchronisation sessions and whether they were successful or a failure,

• The number of main businesses that each site is allocated to create,

• The number of main businesses that each site is allocated to view,

• List of all main businesses owned by a site and whether that business is subscribed to other sites within the organisation,

• The ability to search for a business name across all sites within an organisation,

• The ability to change ownership of the main business from one site to another,

• The ability to subscribe a main business from one site to another,

• The ability to delete main businesses from any site within the organisation.

With the organisation name highlighted in blue on the tree-view, the right hand window should display a list of all sites within the organisation along with the number of businesses that are authorised for each site.

Please note: if the organisation has a central enterprise site it is useful for this person to be able to see which users have not synced recently before compiling the organisations data in to reports.

Maximum businesses is the number that site is permitted to create. This can be increased by contacting Farmplan sales on 01594 545000.

Owned businesses is the number of businesses that the Gatekeeper site has created.

Visible businesses is the number of businesses that the user can view. This includes ones they could set up (maximum) plus any that have been created by another Gatekeeper and subscribed across.

Available businesses is the total number of businesses that the site can either create themselves or receive as subscribed businesses.

Synchronisation Tab

The synchronisation tab displays the last 25 synchronisations that the site has made along with the duration and status of that synchronisation session. In the top right hand corner of the window you will also be able to see the current Gatekeeper program version that a user is running to allow you to identify a user that has not yet collected an important update.

In the tree-view on the left side of the window the site names have symbols to indicate the last synchronisation point of time:

✅ Sync within the last 7 days

⚠️ It has been between 7 and 14 days since the user’s last sync

❌ The user has not synchronised for a period of longer than 14 days.

Please note: The site supervisor will report the times in UTC (universal time control) and therefore show GMT (Greenwich mean time) to UK users and does not change when our local time is BST (British summer time) 1 hour ahead.

Businesses Tab

The businesses tab displays a list of all business names and account references along with whether this site’s user is the current business owner or is a subscriber to the business from another user within the organisation.

Select subscribers is highlighted on a business where the site is the owner. The site supervisor can subscribe this business to any and all other sites within the organisation along with changing the owner to another site.

Please note: before any business subscriptions or ownership changes are made please check the recipient site has sufficient maximum or visible businesses.

If businesses are being subscribed to the user from another site you will see the subscriber sites appear under the ‘related sites’ section and you can unsubscribe them if needed.

Changing business ownership

It is important to be aware that when a main business is moved on the site supervisor to another site it is automatically subscribed to the original site owner. This subscription would need to be removed for only one site to have access to that main business.

Deleting main businesses

With site supervisor activated in an organisation all other sites within that organisation lose the ability to delete businesses locally in Gatekeeper.

Tools Tab

Site supervisor authorisation restricts the local users from being able to retreat cropping years. If a user wishes to retreat their current businesses cropping year they could normally do this from the cropping year manager window.

When site supervisor is enabled on that organisation the user will require a code to allow them to retreat preventing them accidentally deleting all field operation records in the current green year that might have been recorded.

Search Tab

The search tab allows the site supervisor to use a text word search to produce a list of all businesses across all sites within the organisation that contain that text.
