What are Job Bookings

Job 'Bookings' are the timeframes your Staff members are scheduled to be on a Job. We call them bookings as this is a common phrase used by many GeoOp business types.

  • Each booking primarily consists of single Staff member and a timeframe.

  • You can also add some other basic data to each booking, which we'll detail below.

  • You can create as many bookings as you wish on each Job.

  • You can also choose to leave a Job with no scheduled bookings at all. This is called an Unscheduled Job.

Creating and Managing Bookings

You can create Bookings in a few simple ways

  • Whilst Creating a Job (at the bottom of the modal)

  • On an existing Job (in the Details tab at the bottom, select 'Add Booking')

  • Via the Schedule page

The required fields for creating a booking are:

  • Booking Start Time

  • Booking End Time

  • Booking Label

    • This works in a similar way to the Job Title field, and could be used to broadly define the tasks required (eg 'Site Prep', 'Painting', 'Assessment' etc, depending on your business type). When you type in this field, you will have the option to select previously created labels.

The Booking Detail field is optional, and similar to the Job Description field. You can add any further details here for your mobile Staff to reference when on that booking.

Assigning a staff member to the booking is also optional. Once you have elected your start and end time, you will be able to see the availabilities for each staff member in the list update. This availability is based on other bookings they may be assigned to and any unavailability they have added.

Creating Bookings as Unassigned

Unassigned Bookings mean that there is a timeframe for the Booking, but no Staff members assigned. Unassigned Bookings are useful if you know when that Job needs to be done, but you're not yet sure who can do it.

If you select this option the Staff assign box will be hidden. In its place you will have a dropdown to choose to create up to 10 unassigned Bookings. You can then assign these Bookings at a later date.

Note: If your Staff have the permissions to 'View Unassigned Jobs', they will be able to access these Jobs and assign themselves directly to unassigned Bookings.

Assigning Staff

When assigning Staff you can refine your list in 2 ways. Firstly you have a Workgroups filter. Workgroups can be set up under Settings. Choosing multiple Workgroups will cross reference your selections and return Staff only that fall within all of them. This can be a very powerful assigning aid, and should be carefully considered to best utilise your business knowledge of the Staff in your business.

You can also search for Staff members. The list below will further filter to show only staff matching your search criteria.

Select as many Staff as you wish, then click Save & Close to create Bookings and close the popup. Or click 'Save & Add Another' to create Bookings and leave the popup open to create further Bookings. Using this button will enable you to create a complex schedule of Bookings in the shortest possible time.

Reminder: If you select multiple Staff when adding Bookings, it will create separate Bookings for each Staff member. Once created, their information is not linked.

Note: You can only see which Staff are available at certain times (through the "Available", "Partly Available", and "Unavailable" tags under the Staff members in the Add Booking modal) if you have the View All Jobs permission set up in Staff Roles.
