Accessing Appointment Checklists
To manage your checklists:
Go to Settings.
Select Appointment Checklists.
From here, you’ll see any existing checklists. If you’re new to this feature, the list may be blank, or you may see a basic default template.
Creating or Editing a Checklist
Click + New Checklist to create one from scratch.
Or select an existing checklist to make changes.
Give your checklist a clear, descriptive name (e.g., Service and Maintenance Standard Checklist) so your team knows when to use it.
Adding Checklist Items
When building a checklist, you can add several types of items:
Checkbox – For quick yes/no tasks.
Text – For open-ended responses.
Pass/Fail/Flag – Helpful for testing or inspections.
Yes/No – For simple confirmation questions.
Signature – Capture sign-off directly within the checklist.
Photo Upload – Require technicians to upload photos for documentation.
Each item can also be marked as required, which means technicians must complete it before they can close the job.
Examples:
Did you add photos and notes for all equipment? → Photo Upload (Required)
Did you discuss maintenance plans with the customer? → Checkbox (Required)
Status of cooling system → Pass/Fail/Flag
Acknowledgment of work performed → Signature (Required)
Assigning Checklists to Jobs
You can decide where and when a checklist applies:
Apply it to specific job classes (e.g., Service, Install, Callback, Repair).
Assign it to specific appointment types.
Make it required before a technician can complete a job.
Examples:
A checklist may be available for all Service jobs, but optional.
A checklist for Repair jobs may be marked as required, meaning technicians must complete it before closing the visit.
Managing Multiple Checklists
You can create as many checklists as you need, each with unique rules and requirements based on your workflows or customer needs. This flexibility lets you design different checklists for different job types, teams, or services.
New Update: Exporting and Sending Checklists
With the recent release, you can now export completed checklists as PDFs or send them directly to your customer from both the Office App and the Technician App.
In the Office App
You can download or send checklists in two places:
From the Schedule page – Open the appointment, view the checklist, then select the option to download or send the PDF.
From the Job page – Click on the completed checklist and download or send it directly to the customer.
In the Technician App
Technicians can also generate the PDF or send the checklist to the customer:
Immediately after completing it.
Or later, if needed.
