As a reminder, there are 4 Required Fields

  1. Purchase Name: the name as shown on your invoice (sometimes referred to as the 'Item Description'

  2. External ID- The Unique ID# given to that item (sometimes called the Item ID#) - if an ID# doesn't exist, just copy the purchase name and use that as the ID as well

  3. Purchase Cost - How much you paid for the item

  4. Purchase UoM - Make sure to include any pack size data as well (i.e. 'case=10lb')

Fill out your Spreadsheet

Step 1: Add Purchase Name

This sometimes called the 'Item Description' on invoices

Step 2: Add an External ID

It is ESSENTIAL that you always add an External ID (a.k.a. Item ID). If one does not exists, just copy the Purchase Name and use it as the External ID.

Step 3: Add a Vendor Name

This is optional, though we recommend always adding when applicable as we match vendor names to external ID.

Step 4: Add a Purchase Cost

No need to calculate any numbers here, just add exactly the amount you paid for the item.

Step 5: Add the Purchase Unit of Measure

  • You can add any Standard Unit like 'lb' , 'oz', 'gal', 'qt', 'kg' etc.

  • Or, if the item is purchased by the case, you can also add a custom unit (just describe the unit in the cell and define it later)

*** See bottom of article for optionally adding Location ID & Invoice Image URL ***

Now Save the File:

Step 6: Use the 'Select All' Box to select all cells in the file

Step 7: Format the cells to 'Text' Format

Step 8: Save file as a 'CSV UTF-8' Format

Some Optional Columns to add to your Spreadsheet:

Add a Location ID:

If you have a Business or Premium subscription and have created concepts, you can upload costs for multiple locations / multiple concepts.

You'll find your location ID in the Concepts page of your meez

Optionally add a link to the invoice Image

If you save your invoice images to the cloud, you can add a link to the invoice image in the 'Invoice Image URL' field
