Use this article to stop the "Need admin approval" message, fix a Microsoft 365 email integration that keeps disconnecting, and let every adviser in your organisation connect their email without repeated admin approvals, using the one-time Re-consent for organization button.
Who this is for: anyone can use this article to diagnose the problem. The fix itself must be done by a Microsoft 365 Global Admin (the administrator of your business's Microsoft accounts, not a Trail admin) who also has a Trail login. Any Trail login works; no special Trail permissions are needed.
Why does Microsoft keep asking for admin approval?
The "Need admin approval" message appears when Trail's Microsoft 365 email integration hasn't been approved for your whole Microsoft 365 organisation. Microsoft controls these permissions at the organisation level: until organisation-wide approval is granted, only Microsoft 365 admins can connect their email to Trail successfully. Non-admin users are blocked by the "Need admin approval" message, or find their Microsoft 365 email integration repeatedly disconnecting, no matter how many times an admin approves individual requests.
Granting organisation-wide approval once fixes the problem permanently for every user in your organisation.
Who can approve Trail for the whole organisation?
Approving Trail for your whole organisation requires a Microsoft 365 Global Admin: the person who administers your business's Microsoft accounts, not a Trail admin. The Global Admin also needs their own Trail login, because the approval is granted from inside Trail's email integration settings.
Not sure who your Microsoft 365 Global Admin is? Ask whoever manages your Microsoft 365 accounts, or your IT provider.

How do I approve Trail for my whole Microsoft 365 organisation?
To approve Trail for your whole Microsoft 365 organisation, use the Re-consent for organization button in Trail's email integration settings:
Sign in to Trail as the Microsoft 365 Global Admin.
Go to Settings and connect your Microsoft 365 email integration. Global Admin connections succeed without extra approval.
In the Microsoft 365 email integration details, click Re-consent for organization. The Re-consent for organization button only appears for Microsoft 365 email integrations.
Microsoft shows a permissions screen listing the access Trail needs. Review the permissions and click Accept.
Microsoft returns you to Trail's Settings with no error message. Organisation-wide approval takes effect immediately.
Each non-admin user whose Microsoft 365 email integration was blocked or disconnected now reconnects it themselves: in Trail, go to Settings and connect the Microsoft 365 email integration again. The connection should complete without the "Need admin approval" message.
If a non-admin user still sees the "Need admin approval" message after reconnecting, email support@gettrail.com.
When do I need to click Re-consent for organization again?
Click Re-consent for organization again if non-admin users start seeing the "Need admin approval" message after previously connecting fine. This usually means Trail's permissions were changed or revoked in your Microsoft 365 admin centre. The Re-consent for organization button must be clicked by a Microsoft 365 Global Admin, and one click re-approves the whole organisation.
Does this apply to Google email?
No. Organisation-wide approval and the Re-consent for organization button apply to Microsoft 365 email integrations only. Google email integrations never show a Re-consent for organization button and don't need organisation-wide approval.
