Capturing in-person meetings - live recording and audio upload

Trail's meeting capture works for every client conversation - not just online meetings. Whether you record live during a meeting or upload a file afterwards, the result is a full transcript on the client's timeline, ready to summarise and use as compliance evidence.

  • How to record or upload audio from any in-person client meeting and have it automatically transcribed to the clients’ timeline


How it works

There are two ways to capture an in-person meeting:

Option 1 - Live recording Open the client's profile in Trail before or during the meeting, select Live Recording, and hit record. You can pause and resume at any time. When you're done, review the file details, optionally rename it, and submit for transcription.

Option 2 - Audio upload If you've already recorded a meeting using another tool, upload the file directly from the client's profile. Trail accepts common audio file formats.


After recording or uploading

Once your audio is submitted, Trail processes it automatically. When transcription is complete you'll be able to:

  • Assign speakers - match transcript segments to the right contacts on the profile so the record accurately reflects who said what

  • Rename the file - update the audio filename before finalising if needed

  • Mark as evidence - assign the recording as compliance evidence from the timeline

The completed transcript and a downloadable copy of the source audio are then saved to the client's profile timeline, alongside all other meeting records.


AI meeting summaries

Once the transcript is on the timeline, you can run an AI summary using meeting templates - the same workflow available for Google Meet and Microsoft meetings captured through Trail.


Language support

Trail can transcribe meetings in a wide range of languages. If your meeting isn't in English, select the language spoken in the audio for the most accurate transcript. Trail then translates non-English transcripts into English, so your client records stay consistent.

We're continuing to invest in multi-lingual support - native transcription of conversations that move between languages is on the roadmap.


Finding your recording on the timeline

Completed recordings appear on the client's profile timeline. Each entry includes the transcript PDF and a downloadable copy of the audio file.


FAQs


Q: What happens if I close Trail mid-recording?

If you close the recording modal or navigate away without discarding, Trail will automatically save the audio recorded to that point. You'll see a confirmation notification when this happens. Your recording won't be lost.


Q: Can I record meetings conducted in languages other than English?

Yes. Trail can transcribe meetings in a wide range of languages. Best practice is to ensure you select the spoken language once you finish the recording, or prior to uploading the recording.


Q: What if I speak in multiple languages in one meeting?

The tool does not fully support this scenario yet. If you mix languages, everything will be captured in the one spoken most.

Native multilingual transcription - for conversations that switch between languages - is on our roadmap.


Q: What's the difference between live recording and audio upload - do they produce the same output?

Yes. Both paths follow the same workflow and produce the same result: a transcript and downloadable audio file saved to the client's profile timeline, with the option to assign speakers, mark as evidence, and run an AI summary. The only difference is how the audio gets into Trail - recorded live in the browser, or uploaded as a pre-recorded file.


Q: Can I leave while my transcript is processing and come back later?

Yes. For large recordings or uploaded audio files, just click “Notify me later” to leave the processing window and carry on with other work. Trail keeps processing your transcript in the background and will notify you once it's completed and ready for the next steps.


Q: What set up is required for using this feature?
