When we first launched Trail's AI transcription and summarisation tool, the meeting bot could only join meetings scheduled through Google or Microsoft calendars, which meant Zoom meetings sat outside of Trail's meeting intelligence. We've now added Zoom as an add-on to close that gap. Once you've connected your Google or Microsoft calendar to Trail, you can link your Zoom account on top of it, and the Trail bot will be able to join and transcribe your Zoom meetings automatically.
đ Connect Zoom
Trail's Zoom integration is accessed through Trail's Meeting Integration settings. To connect Zoom:
Log in to your Trail account and navigate to Settings â Email & Meeting Integration.
Under the Meeting Integration section, ensure your calendar (Google Calendar or Microsoft 365) is already connected. The Zoom Recording option appears once a calendar is linked.
In the Zoom Recording section, click Connect.
You will be redirected to Zoom's OAuth authorization page. Sign in to your Zoom account and grant the requested permissions.
Once authorized, you will be redirected back to Trail. Zoom will appear as Connected in the Zoom Recording section, confirming the integration is active.

đ Transcribe Zoom meetings
Once Zoom is connected, go to the Zoom settings page to enable Automated Captions.
In Settings, go to Meeting.
Scroll down to In Meeting (Advanced), and enable Automated Captions. Make sure English is selected.
Leave Allow only the following users to enable captions unticked, so the Meeting Bot can turn captions on as a participant.
Only meetings created after connecting Zoom will be recorded. Events already sitting in the calendar before the integration was connected wonât be picked up - the event needs to be deleted and re-created so it syncs.
No manual action is required during meetings, just like how it currently works for Google and Microsoft, Trail will automatically record and transcribe eligible Zoom meetings found on your connected calendar.
Note: There is currently a bug on Zoomâs side where the settings shows Automated captions as enabled while it isnât actually in effect. Please switch it off, wait a few seconds, then switch it back on, even if it already shows as enabled.
How it works:
Trail's Meeting Bot automatically joins Zoom meetings that appear on your connected calendar.
The bot transcribes the conversation in real time.
After the meeting ends, Trail processes the transcript and links it to the relevant client profile.
You can access the full transcript and generate AI-powered meeting summaries directly from the client's profile timeline in Trail.
Note: If you havenât connected Zoom to any of your meeting calendar, please do it within Zoom, and make sure the calendar you are connecting in Zoom is the same as the calendar you connected to Trail. When scheduling a Zoom meeting, make sure it is added to the same Google or Outlook calendar you connected to Trail. If the meeting only exists in Zoom and doesnât appear on your connected calendar, the meeting bot wonât join.

đ Disconnect Zoom
To disconnect Zoom from Trail:
Navigate to Settings â Email & Meeting Integration.
In the Zoom Recording section, click the Disconnect button next to the Zoom connection.
A confirmation dialog will appear: "If you disconnect Zoom, Trail meeting bot will no longer join Zoom meetings."
Click Disconnect to confirm. Zoom will be disconnected and Trail will stop joining new Zoom meetings.
Note: Previously synced meeting transcripts remain accessible in Trail after disconnection.

Tips for the Best Experience
The Zoom Recording section only appears after a calendar (Google or Microsoft 365) is already connected - it is a sub-feature of Meeting Integration.
There is also a separate "Disconnect Calendar" option which is independent of the Zoom connection. If you disconnect your calendar, Zoom meetings will no longer be synced, and Trail bot will not join meetings either.
