Generate with AI writes the first draft of your Mortgage Diary Notes for you. It reads the client's Fact Find and Funding Details, plus any meetings you choose to include, and turns them into a structured note covering the purpose of the lending, the clients' background, and your recommendation. You review it, add or remove information, and send it to the lender with the application.
In this article you'll learn:
Where to find Generate with AI
How to generate a diary note, including adding meetings for extra context
What information the AI uses
What to check before you send the note to a lender
How it works
1. Open the Notes page
Open the client's mortgage application.
In the left-hand menu, under Application, click Notes.
Click Generate with AI.
2. Choose what the AI reads
The Generate with AI window shows what the AI will read.
Fact Find and Funding Details are marked Always. They're included in every note, so make sure these are up to date for the accurate notes.
Meetings are Optional. Open the dropdown to add up to 5 meetings from the client's profile for extra context. If a meeting has more than one summary, tick the one you want the AI to use. Meetings without a summary use the transcript instead.
3. Generate the note
Click Generate note, the note then writes itself into the editor, section by section.
When it's finished, you'll see Success! Diary notes generated and saved. The note is saved to the application automatically.
Regenerate a written note.
We’ve added a Regenerate button in case you’ve made any post-generate changes. The new note replaces the current one. If you've edited the note by hand, Trail warns you before regenerating, because your edits will be lost. If you haven't made any edits, the note regenerates straight away. Copy anything you want to keep before you continue.
4. Review and edit
The note appears in the standard editor, so you can change anything before it goes to the lender. Before you submit, check that:
Names, ages, incomes, balances, loan amounts and LVR match the application
Nothing is missing that the lender needs to assess the deal
Nothing is included that the clients haven't agreed to share
The reasoning behind your recommendation reflects your own advice, in your own words where it matters
Please note: Like any AI tool, it can get things wrong or miss context. Tell us how the note went using the thumbs up or thumbs down next to How's the AI note?. Your feedback will go to the Trail team and help us improve the output.
Switching to Template mode
While transiting to AI notes, you can still use the original Notes page and your own templates. Turn Use AI note off to switch to Template mode, with its sectioned editor,
Load template and Save as template.
If your applications already have notes written, they are saved in Template mode, and nothing you'd written changed.
Each mode keeps its own note. Switching doesn't copy content between them.
Only the mode that's switched on goes into the application PDF. Check the toggle before you click Download to Submit Application.
FAQs
Can I use my own templates in AI note mode?
No. AI notes don’t use custom templates. Luckily, we’ve studied each type of mortgage application in detail and built a note structure for each one, so the AI organises the note around what lenders need to see for that type of application.
Why is some information missing from my note?
The diary notes feature bases its notes on the client Fact Find and your Funding Details, as well as ingesting meeting notes to fill in non-field specific information relevant to the application. If data is missing or incorrectly listed in these sources, the agent may misunderstand and omit them. See our best practice guide to ensure your information is correctly included.
Is the AI note saved automatically?
Yes! Once generation finishes, the AI note is saved to the application's Notes page. Any edits you make afterwards are saved the same way as a note you'd written yourself.
Why did my application open in Template mode?
Applications that already had notes before AI note was released open in Template mode, so nothing you'd written changes. Switch Use AI note on to generate an AI note for that application.
If I switch modes, do I lose my note?
Nope; each mode keeps its own note, and switching doesn't copy or overwrite anything. Just remember - only the mode that's switched on goes into the application PDF.
