Understanding the Relationship Between Opportunities & Activities

What Is an Opportunity?

An Opportunity represents a piece of work for a client (e.g. advice, servicing, review) and lives on your Pipeline.

What Is an Activity?

An Activity represents the next action you need to take to move that Opportunity forward (e.g. call client, review fact find, send documents).


How They Work Together

  • Every open Opportunity should have at least one linked Activity

  • This ensures there is always a clear next step

  • When creating an Activity, you’ll see an option to link it to:

    • A specific Opportunity, or

    • “None” (not recommended for Pipeline work)

👉 Best Practice: Always link Activities to Opportunities to maintain a clean and actionable Pipeline.


Once the final Activity connected to the Opportunity is marked as 'done', it will trigger a new activity box to pop up automatically so that you can create the next Activity for the Opportunity. This is to ensure you always have a follow up task and no Opportunity is left behind!

Opportunities on the Pipeline will show different colours depending on the activity connected to them (or if they have none!) 👍 More on this below.

What do the colours on the Pipeline mean?

Having a current activity for each Opportunity is very important in ensuring your advice process with your client stays on track and moves forward!

To achieve this, each Opportunity tile in your Pipelines has a colour next to it to represent its Activity status. These colours appear as a bar beside each Opportunity tile.

Colour Meanings

  • 🔴 Red – The linked Activity is overdue

  • 🟡 YellowNo Activity is currently linked

  • 🟢 Green – An Activity is due today

  • ⚪ Grey – All Activities are due in the future

The purpose is to always show you your most important, actionable Opportunities first. 👍

BEST PRACTICE: Your pipelines should show a majority of Green and Grey if you are keeping up with all activities in your Trail environment. Seeing Red or Yellow tiles should be an exception.

Editing or Managing Activities from the Pipeline

You don’t need to leave the Pipeline to manage Activities.

Step 1: Open the Opportunity

  • Click directly on the Opportunity tile

  • Click on the Activity status area

For editing an existing activity, it will look like this:

Step 2: Edit an Existing Activity

If an Activity already exists:

  • Update the activity details

  • Change the due date or time

  • Add notes

  • Mark the Activity as Urgent if required

Mark the Activity as Done once completed

👉 Click Save to apply changes.


Step 3: Create a New Activity (Yellow Opportunities)

For creating a new Activity for those (yellow) Opportunities that has no activity set, it looks like this:

And from here, same as the above, make your edits to the Activity and then click "Save"!
