Making sure clients will be sent your disclosure and other documents

This article will let you know how to upload your Declaration pdf and your Letter of Authority pdf into Trail. It will also explain how these link to your clients within the software during the Fact Find stages!

An important part of staying compliant is ensuring that your clients receive all the information that they need to, for example, your:

  • Declaration

  • Letter of Authority

At Trail, we want your job to be as simple as possible. Therefore, the software has been set up to send out these compliance documents when needed! πŸ‘

How to Upload

Your compliance documents can be uploaded in your 'Profile' personal settings. Use the "Click here to upload..." button underneath each heading in order to upload copies of your statements.

After you have uploaded document, the icons should look different -

You'll then be given the option to "Download" a copy of what you just uploaded, which will be helpful for checking what you have uploaded, or "Remove" what you have uploaded, which you can do to upload a newer version of the document.


How these link to your clients

Declaration

Once you have something uploaded in your Profile Settings as the Declaration, this becomes an essential 'Compliance' type document.

This means, once you Reset Requests on any clients Documents page, it will be added as a required document for when you are Requesting Documents as part of your Mortgage Advice.

Your client will be able to download a copy of your uploaded Declaration from the client portal (as they are uploading documents to you) and be able to upload a signed copy for you.

Letter of Authority

The document you upload for your Letter of Authority in Trail, becomes available to your client to download during the Insurance Fact Find when they are asked about their Existing Policies.

If your client selects that they like you as their adviser to request policy information from the insurance provider directly about their existing policies, then they will be able to download a copy of your LOA, sign it and reupload a signed copy of it back into the client portal.

Once your client completes the Insurance Fact Find, then you will be able to see their uploaded signed copy in the Profile's Documents page, under Uploaded Files. πŸ‘
