Helping you migrate your client data from MyCRM

Note: We strongly recommend you maintain access to MyCRM for an additional month during the import process in case the data needs to be referenced or further data needs to be provided.

Step 1: Request Your Data

MyCRM does not allow you to manually download your data. You will need to request your data from NZFSG directly. This will take approximately two weeks from when you make the request for them to send you your data. There may be a fee of approximately $750+GST for you to receive your data from NZFSG. This is charged by NZFSG and outside of our control. 

NZFSG will offer you two options for exporting your data:

  1. CSV Extraction (free). Please note this will only provide client information such as names, address, and contact details

  2. Data Export - The Data export is provided in two parts which include an XML format document and a link available for 24 hours to download your client's documents. This download will include a comprehensive record of your CRM data (details are below) The cost of this export will be approximately $750+GST.

Template wording for the email:

“Please can you send me a comprehensive copy of all of my data in MyCRM? I would like this as XML files, and for it to include: 

  • All client data

  • All financial data for those clients

  • All Diary notes

  • All Client Documents

These should include the following files

  • Client

  • Communication

  • Entity

  • Family

  • FinancialAddress

  • FinancialAsset

  • FinancialClient

  • FinancialExpense

  • FinancialIncome

  • FinancialLiability

  • Loan

  • LoanClientEntity

  • LoanSecurity

  • LoanStructure

  • LoanSupplementary

  • Policy"

Since many of these will contain note fields which include commas please export these as an XML rather than a CSV as the formatting will be broken and the files will be unusable.

Please can you let me know when this will be available?”

Step 2: Send us a copy of your data

NZFSG should send you a password protected ZIP file. 

  1. Upload this to a secure storage site, such as Google Drive, Dropbox, or Microsoft OneDrive. 

  2. Send us an email with a link to download the file to support@gettrail.com

  3. Once we have downloaded the file we will contact you to receive the password. 

  4. Please also download a copy of your data yourself and store this securely.

Step 3: We will then upload your data into Trail

MyCRM data is straight-forward to upload. We should have it completed within two weeks from the day we receive the data. If you would like to discuss your import, please get in contact with us at developer@gettrail.com.

Other Considerations: 

The link to your documents within the export expires within 24-hours for security reasons, so we will need to get access to it ASAP.
