Difference between Profile & Opportunity Ownership
First, we'll need to understand the differences between owning a Profile and an Opportunity.
Profile Ownership
Profiles can only be owned by a user with an 'Adviser' type account. See this for more detail.
Who should be Profile Owner?
The adviser who should be Profile Owner should be the main manager of the client or has the main accountability and/or responsibility for the client.
Others who work with the client can collaborate through individual Opportunity ownership which we will discuss below.
Opportunity Ownership
In contrast, Opportunities can be owned by any user; Adviser or Assistant.
If the Opportunity Owner is different from the Profile Owner, then that user's icon will appear next to that Opportunity in the box:
If the Opportunity Owner is an Assistant for an Advice-type Opportunity (which requires links to an adviser's disclosures), then you also need to specify the "Submitting Adviser". This must be an Adviser in your team. It indicates who will be overseeing/ be responsible for the advice, and for Trail to pull that Adviser's compliance documents for the advice
Who should be Opportunity Owner?
This can be whoever is assuming the current responsibility for the client in their stage of the advice or servicing process.
Assigning Profile Ownership
If you want to hand over full control to another adviser in your organisation, you can change profile ownership to give them full control over all client information and opportunities.
1. Navigate to the profile and click on the current profile owner in the top right corner.
2. Select the new profile owner & then "Confirm".
The person you have now assigned this profile will now see the profile in their contacts and be able to search for them. The existing opportunities will still be assigned to the original profile owner. If you wish to re-assign ownership of the existing opportunities, see below.
Assigning Opportunity Ownership for collaboration
If you’re managing a profile but a team member is helping you with an opportunity, you can give ownership of an opportunity to someone else in your organisation. This allows them to only edit the information within the assigned opportunity.
This is great for collaboration, as the profile owner will still have full control over all information, including the opportunity that is assigned to someone else.
When creating an opportunity
1. Create an opportunity and change the ownership to your team member.
If the opportunity already exists
1. Locate the opportunity in the profile and select it. Then click the current opportunity owner as follows
2. Click on the name and then change it to your team member
Now your team member will see the Opportunity in their pipeline.
Since the profile owner is someone else, it will appear like this (with a blue dot next to their icon):
How Opportunity Ownership works with Permissions
If your Permission Settings for viewing/editing information are on "Own" for the new Opportunity Owner's account type (either Adviser or Assistant), e.g. below:
Then on the client's profile the e.g. Adviser, can only select the Opportunity assigned to them.
Their profile picture will be on the assigned opportunity, as shown below:
And while they can view the client's Profile information, they cannot edit any information. This is shown with a note specific to them at the top of the timeline.
